Kamehameha Schools is searching for a Payroll Manager who will be tasked with leading the Payroll Department in providing timely and accurate payment of wages and taxes. The ideal candidate will be a proven payroll professional experienced in managing a team in achieving timely support, delivery, and audit of payroll activities and outcomes. They should be a strong communicator and able to manage a fast-paced environment with multiple deadlines. Preferred experience in payroll system configuration, analysis, reporting, and maintenance.
This is a Hybrid position which provides work from home flexibility on an approval basis.
Job Summary
Oversees the Payroll Department to ensure timely preparation and accurate cost distributions of the organization’s (including subsidiaries) salaries, overhead and related benefits in compliance with appropriate federal and state regulations and the organization’s internal controls. Manages KS’ relationship with our Payroll/HR system providers and support partners ensuring all aspects of our master service agreement and that our overall expectations are met. Keeps abreast of tax changes and regulations to advise management of implementation ramifications. Utilizes technology tools to exceed customer satisfaction, expectations, effectiveness, and increase operational efficiency.
Essential Responsibilities
Operations and Systems
  • Ensures efficient, timely and accurate execution of the organization’s payroll operations and systems.
  • Monitors the system on a continual basis to insure internal controls and security are followed and adhered to through the establishment of an appropriate audit plan.
  • Serves as the department technical manager, responsible for system troubleshooting, issue identification and problem resolution.
  • Works as a partner with the Operational Managers to design and implement efficient and effective solutions to business problems, including system integration issues.
  • Serves as the relationship manager with the payroll services and support providers.
System Maintenance/Foundation Support
  • Responsible for overall payroll business process and system configurations including strategic vision of future enhancements and modules.
  • Collaborate with payroll, human resource, and business partners to determine business requirements and functional specifications.
  • Works closely with the Information Technology Division to maintain an interfaces between the Payroll/HR system and other related applications.
  • Research options for solutions to technical issues, assessing impact to business process and cross-functional areas.
  • Manages all phases of system testing.
  • Responsible for periodic system upgrades by analyzing new functionality for impacts.
Process Improvement
  • Serves as the primary subject matter expert (SME) for all payroll related systems and is responsible for documenting and communicating all related business processes.
  • Participates in business re-engineering activities to support the integration of electronic information processes. Provides Payroll module configuration to implement solutions to meet internal management and external payroll and benefits reporting requirements.
  • Develops and documents detailed business process flows for the payroll department.
  • Identify areas of weakness within the process, develop and implement recommended solutions.
  • Ensures the successful delivery of major upgrades, enhancements and implementations.
  • Identifies organizational training needs and requirements. Establishes a training curriculum and program to be delivered on an as needed basis.
Compliance
  • Maintains all payroll records, reports, computations and audits, including periodic internal audit reviews.
  • Works closely with internal and external auditors to ensure compliance with relevant tax laws and government regulations.
  • Works closely with Human Resources to ensure that payroll actions conform with employment and benefit laws and practices Handles federal and state agency audits and other regulatory agencies to ensure that the organization has accurate information and is compliant.
  • Keeps abreast of tax changes and regulations to advise management of implementation ramifications. Reviews all federal and state payroll tax filings, including quarterly and year-end returns.
  • Determines the taxability of non-wage payments and serves as in-house contact for technical tax compliance issues.
  • Interprets the organization’s employment policies and government regulations in connection with payroll activities and makes recommendations on modifications to senior management, as appropriate.
Position Requirements
Minimum Qualifications - An equivalent combination of education and experience may be considered in lieu of the requirements listed.
  • Bachelor’s Degree in Finance, Accounting, Business or other related area
  • Minimum 3 years of related work experience of extensive payroll experience in a large organization (1,000+ employees) using Workday or a similar enterprise payroll system.
  • Minimum 2 years of supervisory experience.
  • Possesses a general understanding of accounting.
  • Ability to manage a high pressure, fast paced environment
  • Ability to multi-task and prioritize workload
  • Customer service oriented, ability to foster a service oriented environment
  • Demonstrate excellent verbal and written communication skills and the ability to interact professionally with a diverse group of individuals including: end-users, managers, and executives
  • Excellent knowledge of current state and federal labor and tax laws required to ensure compliance in all payroll matters.
  • Strong organizational skills and demonstrated ability to remain flexible in a demanding work environment and to initiate appropriate changes in a dynamic environment.
  • Strong ability to lead and/or work in groups and teams to develop and accomplish defined common goals and objectives.
  • Proven ability to work independently and under pressure.
Preferred Qualifications
  • Knowledge of Workday implementation and configuration.
  • Experience with Peoplesoft and ADP applications.
  • Advanced understanding of employee benefit plans including 401k, Healthcare, Flexible Spending Accounts (FSAs), and Cafeteria Plans.
Physical Requirements
  • Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
  • Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
  • Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
Working Conditions
  • This position may involve traveling to various locations, including neighbor islands to conduct business.
  • Work is conducted in an office/school environment and may require work to be conducted in non-standard workplaces.
  • Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
