Position: Payroll Specialist
Program: Finance and Accounting Department
FLSA Status: Non-exempt, Full-time hourly
Responsible to: Payroll Manager and Director – Financial Accounting & Special Projects
Job Summary:
Assist the Payroll Manager in the efficient operation of processing payroll. Primarily responsible for processing payroll and maintaining the database regarding salary and pay. Performs duties related to payroll operations, including recording hours of work, processing time records, compiling payroll statistics, maintaining payroll control records, and calculating payrolls, in accordance with Federal, State, and local laws. Must be trusted with sensitive and confidential information. Cooperate with all departments to increase payroll service performance and improve upon the payroll system.
Essential Duties:
1. Review and analyze payroll data and reports for accuracy and resolve discrepancies to ensure accurate posting to payroll records.
2. Process and close payroll at the end of each payroll period.
3. Manage the printing and distribution of timesheets and leave status reports.
4. Compile and direct time-keeping data, calculate pay adjustments and key data into payroll system.
5. Ability to use payroll software with accuracy and efficiency.
6. Prepare, process, and track wage garnishments and child support orders.
7. Assist with the preparation of audit schedules and management reports.
8. Assist with direct deposit and other deductions to update payroll records.
9. Prepare and process electronic transmission of payroll data such as retirement, insurance, union dues and credit union payments.
10. Maintain an orderly filing system for payroll and related records
11. Assist in the coordination and interaction with federal, state and other agencies on issues pertaining to employee compensation or mandatory deductions such as garnishments, child support, etc.
12. Upon request will assist with the update and distribution of payroll.
13. Assist managers and staff by answering payroll related questions, providing requested payroll information without violating confidentiality policy, and assuring appropriate follow-through and/or resolution of other payroll issues such as timecards, paycheck, pay rate, etc.
14. Communicate with managers, supervisors, co-workers, employees, and others regarding timely submission of employee timecards and leave authorization.
15. Verify with HR the accuracy of employees’ rates, benefits, and other payroll information.
16. Must be trusted with sensitive and confidential information.
17. Perform other related duties as requested from time to time such as benefits and other custom reports.
Education and Experience:
1. Minimum of an Associate of Arts Degree in related field or at least 3 years of direct payroll processing experience.
2. Solid understanding of legislation and regulations of pertaining to payroll.
3. Knowledge of ADP, Paychex, or any other payroll processing system from a third party vendor.
4. Three years computerized payroll processing experience.
Knowledge, Skills and Responsibilities:
1. Knowledge of payroll laws and regulations
2. Minimum three years payroll experience
3. Read and interpret documents and reports
4. Write routine reports and correspondence
5. Maintain accurate and organized records
6. Ability to speak to customers or employees of organization
7. Calculates figures and amounts using a 10-Key calculator
8. Ability to assume responsibility for assignments and to perform them in accordance with minimal supervision
9. Deal with problems involving several variables in standardized situations
10. Use computer software programs and/or other applications (working knowledge of Microsoft Office; Microsoft Excel; Word; Outlook; and 10 key)
11. Excellent communication and detail oriented
12. Proficient in reading, writing, and understanding work related materials
13. Bilingual in English/Spanish preferred.
14. Ability to work well under pressure and or tight deadlines even when there are competing requirements and changes in assignments
15. Positive attitude with excellent customer service skills
16. Good interpersonal and communications skills; with proper phone etiquette
17. Regular attendance Monday through Friday, assigned work schedule depending on department needs
18. Maintains confidentiality of sensitive and confidential information at all times.
