Position Overview: :
This position is for a dynamic and experienced people leader that assists the Director, Clinical Operations in managing and supporting day-to-day clinical operations, including scheduling, training and leading a team of individuals responsible for registering and scheduling clients, and inventory management. This position is critical to an integrated and coordinated client experience, partnering with the clinicians and lab techs to deliver excellent sexual health and gender affirming services to communities most impacted by health disparities. We are looking for a collaborative and engaged leader who is skilled at bringing teams together, at leading and supporting process improvement and change management and who has excellent interpersonal skills.

- Onboards and supervises a team of Service Navigators, including per diem staff and volunteers.
- Coordinates staff schedules (including lunches and breaks) to ensure appropriate staffing.
- Reassigns staff as necessary to provide adequate coverage.
- Supports team to effectively assess and triage client needs and ensures that appropriate information is provided regarding available services and care.
- Assists with and serves as a primary contact for de-escalation and crisis intervention efforts.
- Conducts team meetings and creates tools to promote the provision of consistent, high-quality care.
- Anticipates and responds to client’s requests or complaints.
Quality Assurance & Operational Analysis: :
- In collaboration with the Director, develops, reviews and implements operational protocols, including process improvements
- Maintains training records and ensures timely completion of assigned trainings.
- Participates in quality improvement initiatives to ensure the highest quality of ongoing clinical care services.
- Ensures adherence to Title 22 regulations and clinical best practices, including applicable policies and procedures.
- Uses qualitative and quantitative data to inform process improvement recommendations and findings
- Participates in quality assurance meetings and activities, including chart auditing efforts. Serves as a liaison to Magnet, Testing Services, and the Services Navigation team at 1035 Market.
Clinical Operations: :
- Manages clinical supply inventory. Works with clinical leadership team to support inventory analysis activities.
- When applicable, collaborate with Manager, Strut Programs Administration on issues related to event and meeting coordination.
- In collaboration with the Manager, Strut Programs Administration, communicates facility-related issues and needs to the Facilities team through resolution.
- Assures clinic schedules achieve goals and benchmarks outlined by the Director of Clinical Services.
- Makes recommendations for staffing levels based on client need to the clinical services management team.
- Supports daily operations and coordination, including ensuring opening and closing duties are completed.
- Disseminates internal communication to the team related to operational changes and/or process improvements.
- Reassigns staff as necessary to provide adequate coverage.
- Collaborate with Administrative Coordinator on meetings and events being held in the clinic or building spaces.
- Participates in required meetings, offering feedback and suggestions for improvement in clinic and administrative operations.
- Works with other Clinical Directors and Clinical Managers to coordinate staffing between clinics as necessary to best serve patient and provider needs.

- 3+ years of experience as a supervisor required.
- 3+ years of clinical operations or front office management required.
- Experience working with electronic health systems and database required.
- Experience working with Queer/Trans/People of Color highly regarded.
- Knowledge of Title 22 regulations, HIPAA policies, and clinical best practices preferred.
- Experience in eClinicalWorks preferred.
- Bilingual English and Spanish, Russian, Cantonese or ASL preferred.
