This position will begin July 1, 2023. Position Title: Executive Assistant Primary Function: To serve as a confidential Executive Administrative Assistant of the Proctor Elementary School. Work Hours: 7:30am-4:00pm Qualifications: Understands and practices the importance of Confidentiality Knowledge of general office procedures, business English, spelling and math Proficient in Microsoft Word and Microsoft Excel - and/or Google Docs and Google Sheets. Ability to take the initiative Experience as a Bookkeeper and Head Secretary Excellent interpersonal skills with staff and public Ability to interact and communicate effectively with other people Essential Duties and Responsibilities: Takes confidential notes/minutes for Principal during meetings Types letters, etc. in an appropriate form Prepares purchase orders and transmittals Prepares student announcements Keeps the school register and supervises mechanics of absence reporting system Keeps Principal advised of attendance and transfers Records pertinent information on cumulative records Takes incoming calls and transfers to appropriate voicemail or leaves messages in writing in the appropriate mailbox. Receives and directs visitors. Functions as a liaison between parents and the Principal when the Principal is out of the office or unable to meet with parents at that time. Minimizes interruptions within the classrooms. Does photocopying for office needs. Verified invoices, packing slips, etc. Prepares time sheets and submits them to the central office in a timely manner. Handles outgoing correspondence and inter-office mail. Keeps track of the Principal’s calendar. Prepares annual staff directory. Familiar with copier/printer/fax/scan Keep track of enrollment numbers Assist with Pre-school and Kindergarten registration Maintain parent email listserv Assists in word processing and presentations of finished grants, reports, etc. Brings critical information to the attention of the Principal. Maintains filing system and notebooks for the Principal Proofread the information sent to the staff, School Board and community. Maintain complete financial records and prepare appropriate reports as required. Complete orders for payment of bills and deposit all receipts in a timely manner Responsible for maintaining the School Calendar (online) in a timely manner. Receive and direct mail to the correct departments. Order supplies for school and control inventory for school in conjunction with custodian and Facilities Manager. Order materials necessary for function of the administrative office. Make all arrangements for conferences using Sign Up Genius. Perform such other duties expected of the Executive Administrative Assistant as may be determined by the Principal. The Executive Administrative Assistant is directly responsible to the Principal of the school. Education and/or Experience: Associates Degree or the equivalent of 3 years experience Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to communicate clearly by telephone and in person. Mathematical Skills: Ability to calculator figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume, Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Other Skills and Abilities: Personal Computer word processing and spreadsheet experience. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
