POSITION SUMMARY:
The Program Assistant will be responsible for the overall administrative duties for the E.P.A. Department. Assists the Director in daily tasks to meet deadlines and/or requirements. The Program Assistant may assist in Field Work duties as necessary.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • General Clerical duties including but limited to answering phones, taking accurate message and relaying them in a timely manner.
  • Sort and distribute incoming correspondence including mail and faxes.
  • Responds to all routine inquiries via email, phone, fax etc.
  • Assists with client applications, call log, and managing client services calendar.
  • Assists in drafting and preparation of correspondence, reports, and presentations.
  • Must be willing to communicate in a clear and concise manner.
  • Must maintain a professional demeanor at all times when dealing with angry/hostile clients (Tribal Members).
  • Will be cross trained in all Environmental Programs with the ability to assist programs when needed.
  • Ability to handle sensitive and confidential material on a regular basis.
  • Accepts responsibility and carries them through; ability to work under pressure and meet deadlines.
  • Assist in all projects and events sponsored by the department.
  • Other duties as assigned.


REPORTS TO
: The incumbent reports directly to the Environmental Director and does not possess supervisory authority.


PHYSICAL DEMANDS: Must be able to lift a minimum of thirty (30) lbs. unassisted. Must be able to swim. Must be able to hike for a minimum of ¼ mile in all terrains.


WORK ENVIRONMENT
: Majority of work will be done in an office setting. Field work may be assigned at times, personal protective equipment must be worn which includes but not limited to: jeans, steel toe boots, work shirts, etc. Field work climate will be completed in a variety of weather climate and conditions.


QUALIFICATIONS:

  • Minimum Education Requirement: High School Diploma.
  • Preferred Education: associates degree in business administration or related field.
  • Minimum of two (2) years’ work experience in an administrative support setting or related field.
  • Must possess excellent communication skills, both oral and written.
  • Applicant must have experience with narrative report writing.
  • Must be able to work independently.
  • Must have a minimum of one (1) year work experience in Tribal Government.
  • Must be proficient in the following: Microsoft Word, Excel, Publisher and Outlook email.
  • Must be willing and able to travel.
  • Possess a valid state of Oklahoma Driver’s license.
  • Must be willing to submit to and pass a background investigation and drug testing.
