CURRENT OPPORTUNITY TO JOIN OUR TEAM:

The Wood County Planning & Zoning Department has an opening for a full-time (.97 FTE) Program Assistant position. Responsible to perform administrative duties for the Director and professional staff in the Planning and Zoning office. Provides administrative support for all office functions and statutorily required federal, state and county programs.

RESPONSIBILITIES
A. ESSENTIAL FUNCTIONS
1. Draft confidential correspondence, reports and other documents for the Director; respond to email requests. Maintain Director’s calendar.
2. Provide administrative support to professional staff. Create digital forms as requested. Prepare and mail newsletters and keep mailing list current. Update department webpage as needed. Maintain department filing system.
3. Answer the telephone and respond to walk-ins in a pleasant and professional manner. Answer questions and/or direct calls or individuals to the appropriate staff member. Take accurate messages when staff is not available.
4. Prepare weekly receipt of incoming monies and deposit with the Treasurer. Track incoming revenue and provide monthly reports to the Finance Department. Utilize County software to prepare vouchers and post information for payment. Prepare journal entries as needed. Assist in preparation of the department annual budget. Monitor activity for each program budget. Maintain department credit cards. Maintain Fixed Asset Inventory listing. Order and stock office supplies as needed.
5. Coordinate and prepare monthly meeting agendas and activity reports for the Oversight Committee packet. Attend and prepare meeting minutes and forward to Committee Secretary for approval. File required documents for the monthly County Board meeting packet. Schedule meeting rooms; reserve and set up technology as required.
6. Ensure permits are filed properly. Manage payment of the Triennial Program fee and record fee payments to the correct parcel. Upon request, retrieve permits for customers, plumbers, licensed septage haulers and co-workers. Forward State’s share of sanitary permit fees.
7. Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.

B. OTHER JOB DUTIES
1. Coordinate the Wood County Board of Adjustment hearings. Assist with preparing hearing packets. Ensure public hearing protocol is strictly adhered to. Attend meetings; record and take notes, transcribe verbatim testimony and minutes. Maintain hearing files per legal requirements.
2. Ensure proposed certified survey maps, subdivision plats, and condominium plats are distributed to the appropriate agencies and required documents are maintained and recorded in compliance with the Wood County Land Subdivision Ordinance. Contact surveyors, developers and property owners with required map changes or corrections.
3. Process permits and distribute to appropriate agencies/persons. Maintain database containing shoreland zoning and floodplain permits and flood elevations.
4. Participate in weekly team meetings.
5. Provide assistance to other Program Assistant as time permits.
6. Any other duties as may be assigned.

Minimum Training and Experience Required to Perform Essential Job Functions

High school graduate or equivalent; plus two to three years of responsible administrative services experience. Must accurately and efficiently operate a computer, including a working knowledge of word processing, database, web-based software and Microsoft Office programs, and the ability to learn any upgrades and changes which may occur. Must be proficient in operating a calculator and maintaining accurate budget records. Typing skills of 45 wpm is preferred. Ability to work as part of a team and demonstrated ability work effectively with co-workers, and congenially with the general public.
Ability to work independently with minimal supervision, prioritize tasks, work efficiently, remain flexible under pressure and meet time constraints. Accuracy and attention to detail is essential. Ability to maintain confidentiality, critical.

Reading, writing, adding and subtracting skills are necessary to communicate orally and in writing (reading and understanding Statutes, plat books, interpreting legal land descriptions, ordinances, permits, wetland and floodplain maps, State and County codes administered by this office, to provide general program information to the public), performing data entry and accounting of daily money transactions. Basic everyday living skills are needed, as is the ability to understand and follow oral and written directions.
Must be able to become a Notary Public.
