I. JOB OVERVIEW

Job Description Summary:
The Office of Military and Veteran Student Services (MVS) team works to provide military-affiliated students with top-quality customer service, timely and accurate benefit processing, and community-building programmatic activities. The Program Associate works in a collaborative team to process Department of Veteran Affairs and Department of Defense education benefits.

The Program Associate is the primary contact for all internal and external scholarships, tuition awards, and educational supplements for GW military and veteran students to include the Yellow Ribbon Program (YRP), Tuition Assistance, Learning Supplements (LS), and the Pat Tillman Foundation. This position is responsible for program management regarding the application of funds to student accounts and managing the open and closed budgets. The Associate represents the office to internal and external constituencies regarding financial aid given to military and veteran students, including the annual YRP proposal.

This position will also be responsible for being the primary point of contact for the Department of Veteran Affairs Compliance Surveys and issues and Department of Defense education benefits. The Associate will supervise the Program Assistant(s) and assigned graduate fellow(s). The incumbent should demonstrate attention to detail, excellent oral and written communication skills in a student-centered environment, and a commitment to diversity and providing access to higher education for military students.

Reporting to the Director of MVS, the incumbent is responsible for the following:
  • Manages funds received annually from the Department of Veterans Affairs.
  • Serves as the primary point of contact for the Department of Defense Tuition Assistance program.
  • Works collaboratively with the Student Accounts Office, Undergraduate Financial Aid, and the Office of Graduate Assistantships & Fellowships to ensure timely, accurate, and efficient processing of received funds.
  • Validates and verifies all payments received; processes all over-payments and “school debts” due to changes in student schedules in a timely and accurate manner.
  • Serves as the chief School Certifying Official leading certification of GW students with military experience.
  • Performs certification duties in a timely fashion and as required by GW and the VA.
  • Works in conjunction with colleagues in the Office of the Registrar and Student Financial Assistance.
  • Verifies and validates veteran benefit forms, including those related to funding and/or course registration, required by GW and the VA.
  • Manages communication strategy related to all inquiries and, corresponds with Veterans and Distance Education students, and tracks student contact to ensure that timely, regular, consistent communication is maintained.
  • Makes recommendations to policy and procedure in response to evolving federal and local regulations regarding veteran benefits.
  • Conducts outreach to other GW stakeholders, such as all financial aid offices across the university, in order to assist in maintaining standard operational efficiencies.
  • Ensures that all departments understand GI Bill functions and how to best apply for scholarships.


The position is based at GW’s Foggy Bottom Campus in Washington, DC. The incumbent performs typical duties that are mostly administrative in nature and operates under the general or limited supervision of the Director of MVS. The incumbent may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Experience as a School Certifying Official

  • Experience working with veterans and/or military personnel
  • Demonstrated knowledge of Veterans Affairs benefits and financial aid systems

  • Exceptional organizational abilities, verbal and written communication abilities, and fine attention to detail
  • Demonstrated commitment to diversity and inclusion
