Minimum Qualifications:
Bachelor's degree or equivalent in related field and 4 years related experience


Job Summary:
Provide senior level managerial oversight to the Center regarding the planning and execution of various business operations and administrative functions including oversight of a vaccination project for middle school children

  • Robust proficiency with EPIC, Kronos, PeopleSoft, Microsoft Office, Excel
  • Familiarity with SPSS is preferred but not required

Duties related to vaccination project include:

  • Assist with initial project set up
  • Oversee recruitment activities, insurance verification, consent process, and data entry
  • Interact closely with school nurses, school administrators, parents, and children to ensure project runs efficiently
  • Attend health fairs, school faculty meetings, and parent-teacher organization meetings as needed
  • Work with project staff and schools to schedule staff/parent educational sessions and vaccination days
  • Maintain participant files (e.g., document tracking and injection information collected on all participants and update records)
  • Schedule and participate in regular meetings with project personnel to review progress and address challenges
  • Travel up to 10 days per year to schools and UTMB Catchment Areas

Center Administrative Duties:

  • Serve as the Center’s HR Manager (e.g., operate processes to recruit and hire staff/faculty/postdoctoral fellows)
  • Supervise day to day operations to ensure the Center is operating securely, efficiently, and effectively
  • Serve as Center liaison with businesses, clinics, hospital, schools, and academic administrations to promote collaborative events and programs
  • Plan, schedule, and promote meetings, conferences, and interviews (in-person & Zoom)
  • Monitor expenditures (travel, supplies) for compliance with grant/contract restrictions
  • Manage venue acquisition, external speakers, etc. for special events
  • Manage Seed Grant announcements (e.g., disseminate notices, receive applications, distribute award notifications)
  • Assist with processing annual employee performance evaluations
  • Manage intermittent space planning and renovation
  • Serve as Center’s Asset Custodian (e.g., oversee asset procurement and annual asset management procedures)
  • Oversee annual update of Center’s Business Continuity Plan; serve as the Center's primary contact in emergency situations
  • Identify appropriate internal controls for the Center; provide mechanisms to monitor and enforce compliance
  • Manage Records Retention schedules, documents, and procedures
  • Execute other duties as required by the Center Director

Preferred Qualifications:
Master’s degree


Salary Range:
Actual salary commensurate with experience.


Work Schedule:
Monday through Friday, 8am to 5pm and as needed on occasion.
