The Program Supervisor, Birthday Parties, will be responsible for overseeing all aspects of the Birthday Party program; ensuring participants enjoy a safe and positive experience. The position duties will include, but not limited to, coordinating all aspects of event planning, providing required supervision for each event, decorating the area, set up/configuration of area/clean-up of area, creating innovative, creative, fun games to keep participants engaged, while maintaining a safe and friendly environment.

ESSENTIAL FUNCTIONS:
  • Coordinate all aspects of event planning for Birthday program including, but not limited to, communication, interaction and assisting parents and children, during the planning process up to and including the special day.
  • Demonstrate highest quality of customer service ensuring participants feel welcomed and experience a memorable event.
  • Organize and facilitate event activities that are age and developmentally appropriate.
  • Maintain equipment, ensure healthy and safe event environment.
  • Maintain organized records of all aspects of event plans, including agreements, attendance of events, incident reports, parent sign in and out records, medical records as needed.
  • Actively promote outreach activities on social media. Coordinates high quality events and promotions to drive demand as a top choice for events.
  • Build effective, authentic relationships with members, vendors, customers, and community partners.
  • Support administrative duties, growth and expansion strategies such as cultivating community partnerships within the Y.
  • Recruit, train, develop, and schedule staff and volunteers ensuring required supervision for each event. Direct and supervise accordingly at events as needed.
  • Coordinate staff and resources for events, ensuring continuous quality improvement of events focused on the highest level of hospitality.
  • Support the implementation of required training for staff and volunteers as mandated by the YMCA.
  • Monitor revenue and expenses in accordance to budget established.
  • Respond to all member, vendors, and community inquiries and concerns in a timely manner.
  • Observe and adjust approach to support all participant’s abilities, physical conditions, health and cultural needs.
  • Support branch and Association-wide goals, initiatives and activities.
  • Model and enforce appropriate positive discipline techniques as established by the policies of the Y.
  • Perform other job-related duties as requested and necessary.

MINIMUM REQUIREMENTS/QUALIFICATIONS:
  • High school diploma, degree in Early Childhood Education, a plus, or equivalent experience.
  • Strong knowledge and understanding of youth development principles.
  • Ability to plan, organize and implement age-appropriate/developmentally appropriate program activities.
  • Demonstrated flexibility, ability to work nights and weekends.
  • Strong time management and organizational skills.
  • Ability to work independently and manage all situations with poise.
  • Strong commitment to following all sanitation procedures.
  • Strong interpersonal skills and ability to communicate with all levels including staff and parents.
  • Ability to problem solve and make decisions that adhere to the purpose, mission and goals of the YMCA.
  • Ability to relate to children and develop professional, positive relationships with youth.
  • Ability to work as part of a team, as a role model and take initiative to identify potential risk factors and take measures to reduce them.
  • CPR, First Aid and AED certifications required.
  • Valid driver’s license and reliable vehicle for transportation.
PHYSICAL DEMANDS
Must be capable of being on your feet for long periods with agility to move about and throughout work areas/event space. Must be capable of bending, kneeling, squatting and lifting 30 pounds.
