Project Coordinator

This is an exciting opportunity to work with a close-knit Project Management team to create a phenomenal client experience with communication and project execution beyond industry standards. This role is based in Austin, Texas.

POSITION SUMMARY
The Project Coordinator is part of the Project Management team, where the goal is to create a phenomenal client experience with communication and project execution beyond industry standards. This is achieved by creating proactive communication, accelerated follow up, anticipating concerns and resolving issues.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintain constant communication with customers on open projects
- Enter sales orders after customer sign-offs
- Purchase custom items when needed
- Sending and monitoring invoices
- Work with Install Leads, Warehouse personnel, and customers to schedule installs and maintain communication to minimize preventable reschedules.
- Ensure all project information is updated live as changes and updates occur and that it is accessible by all pertinent team members.
- Communicate with customers on a weekly basis to update them on the project status.
- All customer emails to be responded to expeditiously.
- Work collaboratively with cross functional team members in various departments for customer success.
- Continuously review, analyze, and recommend to the Client Experience Manager changes and enhancements to improve operating efficiencies and business expansion.
- Work seamlessly in a fast-paced environment.
- Work in an organized manner with attention to detail, follow-up, communication, and professionalism.
- Serve as primary customer contact during project implementation and manage issues in an efficient manner.
- Participate in status meetings and reporting (i.e. tracking timeline, scope, and project alignment).
- Coordinate with client's onsite requirements as needed
- Meet with Director of Project Operations regularly to review status of all open orders and punch items.
- Other duties as assigned by management
MINIMUM QUALIFICATIONS
College Degree in Business related field preferred but not required- High school diploma or equivalent
- At least one (1) year of experience in a client facing role
- Project management experience is a plus
- Must be highly organized and able to manage multiple projects and clients with different timelines and demands

- Ability to professionally communicate via phone, email and in person.
- Ability to effectively prioritize tasks to guarantee all projects are successfully completed
- Ability to determine urgency in required situations and act accordingly.
- Willing to learn new skills.
Position: Project Coordinator
Status: Full Time
Schedule: Monday - Friday / 7:30am - 4:30pm
Reports to: Director of Project Operations
