Aperto Property Management, Inc. is a growing Multifamily Property Management Company. We are currently seeking a qualified and experienced Administrative Assistant to join our corporate team in Irvine, CA.

In addition to the qualifications below, a qualified candidate will have administrative assistance and Human Resources assistance experience, and excellent time management skills, be a self-starter, team player, goal crusher and most importantly a positive can-do attitude!

Job Responsibilities:

  • Provides administrative support to ensure efficient operation of office.
  • Provides administrative assistance to the Human Resources Department.
  • Collects data and creates reports.
  • Answers phone calls, schedules meetings and supports visitors.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports team by performing tasks related to organization and strong communication.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Provides information by answering questions and requests.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Contributes to team effort by accomplishing related results as needed.
  • Conduct data entry.
  • Assist in the coordination of company and holiday events, corporate gift ordering and logistics.

Education and Experience Requirements

Tax Credit or Project-Based Section 8 experience required

Property Management experience required

High school diploma or equivalent education required

5 years of administrative assistant experience

3 years of Human Resources assistance experience

Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat

Yardi software experience, a plus

Knowledge of office management systems and procedures

Job Type: Full-time

Pay: $20.00 - $26.00 per hour
