Position Information

The Purchasing Assistant & Travel Coordinator is part of the BMPN Administrative Unit which provides service to the departments of Biochemistry, Microbiology & Plant Pathology, Nematology, the Center of Conservation Biology & The Citrus Clonal Protection Program. Under General Direction of the Procurement Supervisor, responsible for processing a large volume of requisitions for a variety of materials, scientific and technical supplies and equipment. Determine and advise on best source for all vendor purchases as well as facilities and equipment repair, phone and communication services, printing and reprographic services and mail services. Act as first point of contact with campus departments to respond to inquiries and reconcile discrepancies. Coordinate deliveries of equipment and services, handle administrative details and update data on-line for department equipment inventory and records. Process Facilities, equipment repair and maintenance orders in compliance with appropriate policies, guidelines and procedures. Provide support for the day-to-day various administrative support functions within the unit. Serve as iTravel Coordinator. Primary responsibilities include: preparing travel vouchers and check entertainment reimbursements for faculty, staff, students, and visitors. Following UC policy, obtain appropriate approvals and documentation as needed. As a member of the BMPN Business Office team, provide excellent front office customer service to faculty, staff, students, and visitors. The budgeted hiring range for this position is $51,385.68 - $60,343.20.

Ability to interpret and apply complex policies; ability to research and analyze information to formulate and implement solutions to problems.
Skill in prioritizing assignments to complete work in a timely, organized, and accurate manner under the pressures of deadlines, interruptions, distractions and competing priorities and requirements.
Skill in creating and editing spreadsheets and reports using Word, Excel, or other software applications; skill in exporting/importing data from or to different software applications or data collection and retrieval; and experience with Internet search engines for data gathering purposes.
Ability to sit for long periods of time.
Skill in working independently, following through on assignments and setting priorities that accurately reflects the relative importance of job responsibilities.
Skill in accurate record keeping with strict attention to detail.
Demonstrated extensive and responsible purchasing and accounting experience in an online environment. Ability to analyze varying product and service features, prices and qualities, and determine the most cost effective purchase for the department.

Ability to lift 30lbs.

Skill and knowledge of UCRFS, UCRFS totals, eBuy, ePay, Concur, and other on-line accounting and purchasing systems.

Demonstrated knowledge of University financial policies and procedures.
