Volunteers of America-Greater New York (VOA-Greater New York) is an anti-poverty organization working to end homelessness in the New York area by 2050. We operate over 60 programs across New York City, Northern New Jersey and Westchester County including emergency, transitional and permanent housing. Our services extend to families experiencing homelessness, survivors of domestic violence, people living with HIV/AIDS, veterans, youth aging out of foster care, adults with behavioral health or substance use needs, and others in need, including a special education preschool program.

The Real Estate Coordinator is responsible for the completion of assigned facilities-based tasks that are necessary to ensure that the facilities area of each of our Bronx based properties are being managed at the highest levels of efficiency. The Administrative Assistant will maintain confidentiality of all VOA-GNY matters to which they are involved. The Real Estate Coordinator will be the primary staff member responsible for tracking the existence and clearance of building violations issued on any VOA-GNY or owned or leased building or city-owned building housing a VOA – GNY programs.

Minimum Qualifications:
60 college credits plus two years’ experience in a related field or a satisfactory combination of education and experience. Must have excellent written and verbal communication skills, business writing skills, the ability to work well with others, and prioritize and take initiative. Intermediate knowledge of Microsoft Word and Excel required.

Supervisory Role:
This position does not have supervisory responsibilities.

Principal Responsibilities:
The below enumerated principal responsibilities are inclusive of both program/facilities specific and firm-wide related administration, as applicable.

1.Manage the day to day needs of the facilities department for assigned properties; these tasks may include, but not be limited to, monitoring equipment maintenance, assisting with facilities staff matters, and other areas of focus and/or areas in need of support that may be requested by the Regional Property Manager and Manager of Repairs and Maintenance.
2.Work with the Maintenance Worker III at each program to assist with the preparation of required paperwork to clear violations, as necessary. Research government portals (including state and local) to determine if there are any outstanding building violations, including civil and criminal, to investigate, gather support for clearance and resolve. Work with supervisor and other senior Real Estate Property Management leaders, as necessary, to escalate for successful resolution.
3.Interface with the Maintenance Worker III at each property regarding the timely submission of certification of cure/correction for violations which may be received at the property from various City agencies (HPD, DOB, FDNY etc.).
4.Schedule and notify Program of work being performed at various location in conjunction with Regional Property Manager and Manger of Repairs and Maintenance. Assist Property Management Team in the follow-up of work orders submitted into electronic system.
5.Work with Regional Property Manager to document and prepare reports as required by agency.
6.Coordinate scheduling of bi-weekly meetings with each property. Assist in the preparation of meeting agendas, presentations as required, and take minutes and post to Property BOX file.
7.Coordinate paper and electronic documentation, including the placing of orders for maintenance building supplies, and uniforms for each property in the Bronx, receiving, routing, and filing of invoices, preparing reports, correspondences, and forms.
8.Perform other related duties as requested.

Expected Results of Principal Responsibilities:
1.Real Estate Department / Facilities for our BRONX properties area functions are efficient and operate smoothly.
2.Violations are outlined with scope and deadline. Aged violations are found out and resolved.
3.Certifications, violations are tracked and managed. VOA is in good standing with city agencies with zero to minimum violations.
4.Property management team is abreast of work orders and repairs. Electronic tracking of work orders is accurate and current.
5.Reports, correspondence, and forms are completed accurately and sent to the appropriate internal or external entities in a timely manner.
6.Meetings, agenda and minutes are scheduled and documented in box for reference.
7.Documentation (digital and hard copy) is handled correctly, efficiently, and is routed to the appropriate person in a timely manner.
8.All other related tasks are completed on time and accurately.
