Summary:
The Receiving Clerk (Receiver) is a member of the Materials Management department of Wentworth-Douglass Hospital. This position has a shared responsibly for all aspects associated with receiving and delivering products for hospital operations. Duties include, but are not limited to, unloading delivery trucks, checking incoming shipments against product invoices, utilizing computer system or handheld device to digitally receive in product, assessing items for damage, organizing and preparing shipments for delivery, delivering of product to hospital departments, and overall upkeep of the Receiving area, while providing exceptional customer service.
Essential Functions:
Demonstrates competency in processing incoming deliveries made to the hospital.
a. Maintains data of daily incoming receipts, noting delivery times, number of trucks and number of packages delivered.
b. Inspects delivered material for visible damage; may refuse delivery per established process or accept by identifying damage to trucker and validating damage notification on Trucker's Bill of Lading.
c. Upon opening of packages, inspects merchandise for quality (damage) / accuracy (purchased quantity) and notes discrepancies to appropriate requestor.
d. Determines and prioritizes workload with ability to work independently and with other hospital departments to process incoming deliveries.
Demonstrates competence in the performance of duties and responsibilities related to distribution of products and supplies.
a. Identifies refrigerated and priority shipments to be received as quickly as possible and delivered within 4 hours of receipt unless delivery request is sooner. When department is understaffed, may contact department to pick up merchandise noting pickup signature. Ensures no priority and/or refrigerated items are left overnight.
b. Stages incoming material for appropriate and efficient distribution, by floor, by area, and department.
c. Sorts, prepares and coordinates with Couriers for offsite deliveries.
d. Ensures 95% delivery accuracy to the appropriate hospital departments and offsite locations. Works with hospital departments to resolve any/all discrepancies within 24 hours of receipt. Works with Couriers to resolve discrepancies with offsites location deliveries.
e. Delivers 95% of received items the same day of receipt.
f. Maintains orderly and clean environment for the safe and efficient distribution of material. Works with Environmental Services to coordinate, schedule and prepare for annual floor sealing.
Demonstrates competence in the performance of duties related to electronic/computer system data management.
a. Processes receipt of deliveries within the Materials Management Information System with an overall 95% receipt accuracy.
b. Provides information on any discrepancy including, but not limited to, no packing slip, missing/incomplete/invalid information and manages exceptions within 2 business days.
c. Uses electronic devices to aid in receipt accuracy and documentation. Ensures a signature is obtained for all delivered items.
d. Maintains manual filing system for packing slips and delivery receipts noting at least 95% completion.
e. Vendor tissue bank documentation requirement to be maintained at 100%.
f. Acknowledges email by response within 24 hours of receipt.

Three - Five year Receiving and/or Warehouse experience
Experience Preferred/Desired
Five years Health Care Receiving and/or Warehouse experience
Education Minimum Required
High School Diploma
Education Preferred/Desired
Associates Degree in Business or Vocational Technical
