Starting salary: $32,115.20 - $34,066.80 per year (dependent on experience)

POSITION OBJECTIVE:

This position answers incoming calls for the service center within their county. This position greets all visitors to the service center and assists with mailings, faxes, and light administrative duties.

KEY FUNCTIONS:

  • Answer, screen, and direct incoming calls to the Osceola Service Center in a polite and professional manner.
  • Review the general voicemail box. Route calls & voicemails to the appropriate staff member or unit.
  • Greet service center visitors and ensure they are checked in according to service center visitor operating procedures.
  • Notify the appropriate personnel of visitor arrival.
  • Directs visitors by maintaining the employee and service center directories.
  • Informs visitors by answering inquiries or referring them to the correct staff member.
  • Obtain operations and CMA staffing calendar each week.
  • Assist incoming clients for staffings or meetings with operations and/or CMA & serve as an information resource to service center visitors.
  • Separate and date stamp mail & maintain the log for all incoming and outgoing courier mail including date stamps and logging.
  • Distribute all incoming mail to the appropriate staff member.
  • Ensure that lobby area, conference room, storage room, family visitation rooms, family resource room, and all other common areas are kept in a safe and orderly fashion.
  • Maintain system for conference room scheduling.
  • Inform supervisor of any facility problems that need repair or attention.

QUALIFICATIONS:

Required:

  • High School Diploma and 2 years of administrative and data entry experience

Preferred:

  • Experience working in a child welfare or social work organization

SKILLS:

REQUIRED:

  • Must be knowledgeable in Word, Excel, Outlook, and Power Point
  • Excellent communication and interpersonal skills; must be able to work well with office staff
  • Must be detail oriented, organized and self motivated to ensure data is entered in a timely and accurate manner.
  • Ability to maintain confidentiality
  • Demonstrate cultural and linguistic competence & sensitivity to population served
  • Ability to travel

SPECIAL CONDITIONS:

  • Thorough Background Screening upon hire including FBI, FDLE, Local Law check, Employment Reference check, DMV check, Criminal Records check, Social Security Trace & Drug Screening. FDLE check will be run at least every 5 years.
  • On-call assignments- N/A
  • Travel- local: 0% per week, long-distance: 0% per month
