Schedule: Full - Time; Sunday - Thursday from 8:30AM - 5:00PM

Position Summary
Under the direct supervision of community administration, the Receptionist provides telephone coverage, greets the public, visitors, applicants, staff and residents/patients of the facility and provides general clerical and office support; e.g. types some correspondence, sorts and distributes mail, maintains files and schedules meetings or activities, and related clerical duties. Responds to resident emergencies as needed.
Key Responsibilities:
- Reception – Greets visitors, determines name and nature of business, and refers to appropriate department or employee. Provides information to visitors, applicants and potential residents/patients and family members.
- Telephone – Answers telephone pleasantly, in a timely manner; transfers calls to appropriate party; uses paging system as needed. Takes and delivers clears messages.
- Responds to emergencies – Responds to resident and facility emergencies following Emergency and Disaster policies; responds to fire alarms.
- Filing – Files general correspondence to ensure information remains organized and is easily retrieved.
- Mail – Sorts and processes incoming mail by opening, dating, and distributing to appropriate employees. Prepares and mails outgoing correspondence and information.
- Office equipment – Operates standard office equipment including copier and fax machines.
- Reporting – Generates routine reports by determining the user’s needs and by collecting and organizing the data to provide accurate and complete reports.
- Scheduling – May coordinate or schedule regular or intermittent activities or meetings. May coordinate or schedule special events. May keep track of vacation schedules and back-up coverage.
- Supplies – Orders and maintains office supplies and forms by periodically checking inventories of supplies on hand, completing purchase requisitions to order additional supplies and ensuring accurate orders are received.
- Clerical – Provides typing and clerical duties as assigned by administration; maintains logs, and related clerical duties.
- Additional duties as assigned.
Minimum Qualifications
- A high school diploma or equivalent.
- One year of clerical, reception or secretarial experience required.
- Previous experience with switchboard or multi-line telephone experience.
- Excellent telephone and interpersonal skills; able to deal with all levels and abilities of callers.
- Proficient with Microsoft Office Products and computer software applications.
- Positions within this classification may require the ability to type or keyboard at least 40 accurate words per minute.
- The ability to read, write and follow written and oral instructions in English.
- Experience in a retirement community preferred.
Working Conditions
- Normal office conditions in a senior living community.
