PURPOSE:

Performs a variety of duties relating to the Board of County Commissioners (BCC), Planning Commission, Charter Review Board (CRB), Value Adjustment Board (VAB) Meetings and Code Enforcement and Utility Rate Hearings. Prepares agendas and attends meetings and hearings, creating accurate, concise minutes reflecting discussions, directives, and votes of the BCC and various other elected and appointed boards and officials. Accurately files and indexes documents and subject matter to allow for efficient archiving and retrieval of information. Resolves problems with high volume of contact with County Administration, the Office of the County Attorney, the County Commissioners, and initiating Business Centers, advising of necessary policies and procedures. Performs a range of clerical duties for the Board Records department. This position is responsible for providing excellent customer service to internal and external customers. Additional duties may be assigned as they relate to the Mission of the Clerk of the Circuit Court organization.

ESSENTIAL FUNCTIONS:

1. Produces Board of County Commissioners, Charter Review Board, Code Enforcement, Planning Commission, and Value Adjustment Board Meetings and hearing agendas, coordinating with County Administration, various County Business Centers, and Special Masters.

2. Attends and records meetings and hearings

3. Processes a variety of documents relating to actions taken in meetings and hearings.

4. Produces Action Agendas and Minutes for BCC, CRB, PC and VAB meetings.

5. Indexes documents and subject matter utilizing a computerized indexing program.

6. Performs duties relating to the publication/advertisements for BCC, CRB, CRB Subcommittees, PC, VAB, and Code Enforcement hearings/meetings pursuant to the actions by boards/committees.

7. Performs duties relating to the prosecutions of Code enforcement Violations, filing of VAB Petitions, CRB, and CRB Special Committee meetings.

8. Researches and retrieves information, documents, tapes and CDs for the public, Business Center personnel and other agencies.

9. Provides assistance and administrative support to the department manager/supervisor.

10. Serves as a cashier for payments received at the Customer Service Counter as well as payments received by mail (in accordance with standard operating procedures).

Education

High School diploma or GED certificate. College, university training may be substituted on a year-for-year basis for the required experience.

Experience

One year of experience as a Recording Secretary to a professional or elected Board, or two years of secretarial experience in a professional office setting with extensive knowledge of proper English or composition, grammar, punctuation, and spelling required. Proficiency in computer skills and Microsoft Word are required. Government background and knowledge or parliamentary procedure preferred.

Administrative Skills

  • Ability to use correct spelling, punctuation and grammar.
  • Ability to accurately type 65 words per minute.
  • Ability to utilize various software programs.
  • Ability to communicate effectively, both orally and in writing.

Job Type: Full-time

Pay: $32,708.00 - $41,078.00 per year

Schedule:
