Job Description Summary

The Bay Area Regional Coordinator’s overall responsibilities are to facilitate an efficient administration, analysis and reporting services that supports the overall operational goals of Bay Area and assists with professional and timely communications to this effect. Directly supports the facility management team with on-going facility and team related responsibilities.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Be familiar with Cushman & Wakefield and Client policies and procedures as they relate to the position and job description
  • Promotes high level of satisfaction among customers by promptly responding to service requirements to promote he highest level of customer satisfaction possible Type, format and produce documents such as presentations, correspondence, and standard reports Note: Due to our client’s requirement, this particular position requires employees to provide acceptable documentation showing full vaccination as per CDC guidelines at the time of employment Other projects and tasks as assigned, such as Future of Work, Sustainability, Bay Area Site Council events, operational data analysis, best practice sharing, etc.
  • Assists with project administration deliverables, including reviewing and /or preparing requisitions, status reports, change orders, payment applications, or other invoices associated with the project.Process and maintain project related documentation, such as agreements, contracts, purchase orders, and work authorizations.
  • Maintain accurate employee contact lists, after hour lists, and Bay Area team Distribution Lists
  • Monitor on-boarding and off-boarding process with hiring managers
  • Creating and developing regional documentation and update and manage information held in Teams/SharePoint sites
  • Issue and track Regional FM calendar, scheduling C&W /client for regional meetings, agendas, and issuing meeting minutes and actions in an accurate and timely manner
  • Provide administrative support to the Regional Facilities Manager and team
  • Issuing regular reminders and ensure all required tasks are on track, escalating to the Regional Facilities Manager where needed
  • Assist in preparing accurate and professional reports and data files, managing all follow up actions as needed for timely submission
  • Responsible to provide administrative support to senior account leadership and delivery of other services as required by the client

  • EDUCATION
  • High school diploma or a General Equivalency Diploma (GED) required
  • Associates or Bachelors degree in facilities management, building, business or other related field preferred
  • IMPORTANT EXPERIENCE
  • A minimum of 3 years of work experience in an administrative, accounting or tenant services capacity
  • Experience with data entry, expansive reporting, filing, answering phones, scheduling and communications
  • Previous customer service experience
  • Prior experience working in the facilities/property management, commercial real estate or professional services industries preferred
  • WORK ENVIRONMENT
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers.

Job Type: Full-time

Pay: $28.00 - $34.00 per hour
