Position Summary

Responsible for resident correspondence, posting rents, controlling the delinquencies, move-ins and move-outs, assisting with invoices, ordering and monitoring the day to day accuracy of the software used by the property under the direction of the Property Manager.


Essential Duties & Responsibilities

  • Perform bookkeeping procedures as assigned by the Property Manager such as accurately posting rents, traffic, service requests, move‐ins and move‐outs in Accounting System, as well as entering purchase orders and assisting with invoices for payment.
  • Collect and enter all deposits, fees and rents according to company policies and procedures.
  • Monitor and pursue delinquent rents, post payment demands, and process files for eviction.
  • Effectively maintain all written correspondence with residence files.
  • Fully understand and comply with all company policies, procedures and Fair Housing Laws.
  • Responsible for having a thorough understanding of application criteria, lease paperwork, rent
  • collection, and move‐in/move‐out procedures, complete deposit accounting timely and be able to explain these items to existing and prospective residents.
  • Review applications before submitting to Property Manager for approval. Type all necessary lease paperwork. Ensure lease file checklists are completed in full.
  • Assist with the renewal process (e.g., contacting residents, preparing letters and surveys, following up on renewal offers, investigating notices, etc.)
  • Assist with Purchase orders, ordering supplies, entering payables into company software.
  • Maintain contact with business and locator services, as well as perform outside marketing visits.
  • Respond to all resident requests and concerns in an efficient and courteous manner.
  • Act as backup for Leasing Consultants which includes having a thorough understanding of features and benefits provided by the community as well as comparable communities in the area and be able to convert this knowledge into a selling benefit for the community.
  • Assist with marketing and advertising the community using company branding guidelines.
  • Responsible for sending all files with a past due balance post move out to our third party collection agency per company collection policy.
  • Perform other reasonable job related duties as assigned.


Requirements

  • College degree preferred, but not required.
  • A minimum of 2 years experience in bookkeeping and/or accounts receivables required. Experience with accounts payable a plus.
  • Property management experience preferred.
  • Demonstrate the ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate an appropriate course of action.
  • Must have strong organization skills and time management skills.
  • Strong verbal and written communication skills.
  • Effectively convey ideas, images and goals to a diverse group of personalities.
  • Achieve Fair Housing certification before interaction with prospects or residents.
  • Moderate competence in computer skills, keyboard, internet search, math, Microsoft Office Suite as well as community software applications.
  • Participate in company and job related training to comply with new or existing laws.
  • Proficient in all Yardi platforms to include PayScan with the ability to manage Accounts Payable/Accounts Receivable for large multi-family residential portfolio of 800+ units
  • Experience with both affordable and conventional housing to include working with Housing Authority requirements and act as the liaison between management and local Housing Authority as needed
  • Knowledge of California landlord tenant law and preparation of legal notices as needed
  • Position may be remote
