Job Title: Proposal Coordinator


Job Description Summary


The Proposal Coordinator will be responsible for supporting all phases of the proposal process in pursuit of winning Federal Government contracts. The Proposal Coordinator will work with proposal, business development and capture teams to support all proposal development and submission tasks. The ideal candidate will be well versed in all facets of the proposal development processes, an excellent communicator, leader, and writer with a strong business acumen, analytical abilities and possess a driven sense of urgency.


Essential Job Responsibilities


  • Track all current and upcoming requests for information, sources sought, etc., on their respective web platforms and inform team members of all updates.
  • Read, review, and analyze requests for information, requests for proposals, statements of work and objectives of solicitations to assist in developing proposal strategies and plans of action.
  • Assist in coordinating company resources to support the development of proposals and maintain proposal schedules.
  • Remain fully informed at all times of solicitation requirements and assist in ensuring compliance with all proposal instructions.
  • Contribute to the development, implementation, and continuous improvement of the proposal process, supporting tools, templates, artifacts, and knowledge management platforms.
  • Maintain currency and accuracy of the knowledge management platform and proposal support site.
  • Proofread, edit content and other materials to ensure accuracy, clarity, consistency of documents.
  • Coordinate and organize proposal progress status meetings, schedules, customer meetings, information sessions and “Color Team” reviews as necessary.
  • Ensure compliance with company policies, cost estimating standards, FAR, CAS, and solicitation requirements, as well as any relevant government regulations.
  • Coordinate with cross functional teams (Business Development, Accounting, Finance, Human Capital, Marketing, and Contracts), and Program Managers for communications, meetings, schedules, deliverables, data calls.
  • Assist with assembling proposal documents.
  • Format resumes and past performance documents.
  • Create and disseminate data calls including communication with subcontractors if necessary.

Experience & Qualifications


  • 2-5 years of federal government contracts proposal management, capture management and business development experience and exposure.
  • Experience with managing, developing, writing and editing technical and cost narratives for proposal submission.
  • US Citizenship Required.
  • Possess a High School Diploma or GED. Associates degree in Business Management or related field preferred.
  • Knowledgeable with federal procurement processes is preferred.
  • Demonstrated experience organizing written materials, rapidly assimilating information, and providing assistance and support in a team environment.

  • Excellent written and verbal communications skills.
  • Advanced proficiency with Microsoft Office products including Word, Excel, PowerPoint, SharePoint, Teams and other relevant applications, and proposal development software programs.
  • Ability to communicate, collaborate and work in a professional manner with individuals throughout all levels of the organization.
  • Customer Service driven toward all external and internal customers.
  • Unwavering professional integrity and the ability to maintain confidentiality of highly sensitive company/employee information.
