Reports To: General Sales Manager

Summary: Helps the General Sales Manager to monitor the new and used vehicle sales and inventory, also supervise performance of all employees within those two departments.


Essential Duties and Responsibilities

  • Greets external and internal customers in a timely, professional, smiling and friendly manner. Listens actively, providing accurate information and advise.
  • Assist in hiring, training, motivating, counseling and monitoring the performance of all new and used sales personnel.
  • Review Whos Calling daily to ensure all sales are captured. Use the recordings to train sales personnel to improve skills in future sales opportunities.
  • Assists in directing and scheduling the activities of all department employees, ensuring proper staffing at all times.
  • Assist the General Sales Manager in forecasting and controlling expense elements for the individual new and used sales departments.
  • Helps the General Sales Manager maintain a balanced inventory based on customer and market statistics.
  • Supports the General Sales Manager in achieving above area average CSI scores.
  • Understands, keeps abreast of, and complies with federal, state, and local regulations that affect vehicle sales.
  • Forecast aggressive yet realistic monthly goals and objectives for the sales department and individual salespeople and then meet them.
  • Follows up on all unsold customers via e-mail or phone call.
  • Assists in the development of improvement programs for salespeople who are having difficulty reaching their objectives. Help salespeople in closing deals when necessary.
  • Ensures that dealership policies and procedures are understood and followed by salespeople.
  • Attends managers meetings as requested.
  • Shares responsibility with the general sales manager for planning and leading sales meetings.
  • Merchandise new and used displays area and keep inventory in ready to be delivered condition, with a variety of colors, models and accessories.
  • Assists General Sales Manager in maintaining a good relationship with vendors.
  • Responsible for the timely return of purchase orders.
  • Orders vehicles consistent with stocking plan established by General Sales Manager.
  • Maintains a good relationship with other local dealers to utilize future dealer trade sources.
  • Provide enthusiastic and professional leadership to shape employees attitudes and build morale. Strive for harmony and teamwork with all other departments. Take physical used vehicle inventories once a month and forward to the General Sales Manager.
  • Establish and enforce product knowledge for new and used vehicle sales staff.
  • Work with sales personnel on programs that will increase the gross and F&I penetration.
  • Enforce a 30, 60, 90 day turn policy on used vehicles.
  • Provide enthusiastic and professional leadership to shape employees attitudes and build morale. Strive for harmony and teamwork with all other departments.
  • Operates and maintains office machines such as computer, calculator, fax machine, and copier.
  • Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.
  • Prioritizes and performs multiple tasks simultaneously in order to meet and exceed deadlines and expectations.
  • Communicates clearly both verbally and non-verbally. Submits concise, complete, and clear legible records for both dealership and customer use.
  • Maintains assigned work area and break room in an organized and clean manner. Exhibiting pride in the work area and dealership.
  • Maintains personal cleanliness, grooming and uniform standards according to dealership guidelines.
  • Displays high standard of ethical conduct. Refrains from unethical, dishonest and theft related behavior. Exhibits integrity, adhering to all company policies, including our commitment to ZERO TOLERANCE of discrimination and work place violence.
  • Aligns behavior with the needs, priorities and goals of the organization. Fosters commitment, pride, trust and team spirit.
  • Utilizes supplies and materials in a practical, economical manner. Handles all toxic chemicals and hazardous waste according to the dealerships current policies and procedures.
  • Reports to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its employees or customers.
  • Communicates everyday, with direct supervisor if it is necessary to be late or absent.
  • Other job duties as required.


Supervisory responsibilities

Directly supervises 7-10 employees in a sales team. Carries out supervisory responsibilities in accordance with the organizations polices and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Educations and/or Experience

Associates degree or equivalent form two-year or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Has the ability to effectively write routine reports and correspondence. Possesses the ability to speak effectively before groups of customers or employees of the organization.


Mathematical Skills

Has the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Has the ability to apply concepts of basic algebra and geometry.


Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions. Has the ability to interpret an extensive variety of technical instructions in mathematical or diagram form.
