Summary of Position:

The Scheduling Coordinator is responsible for handling the patient intake and flow and coordinating all appointments and scheduling with the practice and doctors. This role is vital and requires a high level of attention to detail and organization in a fast-paced environment.

Essential Job Function:

  • Coordinate patient schedule and flow for the practice and maintain schedules with accuracy and attentiveness
  • Utilize telephone, text and e-mail to communicate with patients and dental professionals with the highest customer-care standards
  • Maintain a positive and friendly attitude and deliver excellent customer service to patients
  • Oversee and execute the seamless flow of patients through the office during their visit, from greeting at check-in to scheduling at check-out
  • Schedule, authorize and send pertinent medical records/orders for appointments
  • Be receptive to training and coaching on best practices
  • Maintain an organized working space
  • Coordinate with other team members and doctors as needed for scheduling issues or questions
  • This position is partially executed from an off-site "Communication Hub" where you will remotely interact with patients and dental professionals, though some shifts may also involve in-person interactions with patients during clinical hours
  • Other duties as required as they relate to the position

Education and Experience:

  • High-School Diploma Required
  • 1-3 Years Relative Customer Service Experience

Experience working in orthodontics or dentistry is not a requirement for the right candidate. Work ethic, ability to problem-solve, curiosity, and having the willingness and motivation to learn skills quickly and help innovate the position in the future, are of the highest value to our organization. Bilingual abilities are a plus!

Position and Hours:

  • Full-Time candidates must be able to fulfill any possible days, hours or shifts associated with the position.
  • Hours vary seasonally to accommodate our young patient's school schedules and are occasionally amended based on patient and office needs.
  • Clinical shifts typical require arriving at least 30 minutes early for preparation before the patient day, and staying 30 minutes after for clean up and administrative tasks.
  • Scheduled shifts may fall between the hours of 7:30 AM - 7:15 PM on Monday-Friday. Friday end times are typically earlier.
  • Team members are scheduled at least one Saturday per month (8 AM - early afternoon) during the academic year.
  • Minimal Fridays and no Saturday shifts during the summer months.

Office Locations:

We have four locations across Lancaster County, all of which are a 10-15 minute drive from each other. Although we require all team members to be available to work from any of our four locations, we do our best to schedule individuals at as few office locations as possible and always prioritize scheduling team member at the office location(s) most convenient for their personal life whenever possible.
