Agency Information: Osawatomie State Hospital (OSH) is licensed by the State of Kansas to provide care and treatment for adults diagnosed with psychiatric disorders regardless of ability to pay. OSH serves individuals from 36 counties in Kansas in collaboration with 12 Community Mental Health Centers (CMHCs). The centers refer individuals for admission to the hospital through a collaborative screening process. There are currently two hospitals on the Osawatomie campus in Miami county: Osawatomie State Hospital and Adair Acute Care.

Position Summary & Responsibilities
Position Summary:
This position requires flexibility in managing daily work schedules for nursing staff which consists of RNs, LPNs, LMHTs and MHDDTs. Evaluation of the daily shift schedule is on-going, and changes are required on an hourly basis. The incumbent will also provide supervision to the Administrative Assistants in the Scheduling Department.

This position requires flexibility in managing daily work schedules for Nursing staff which consists of RNs, LPNs, LMHTs and MHDDTs. Evaluation of the daily shift schedule is on-going, and changes are required on an hourly basis. This is accomplished by maintaining interpersonal relationships with staff and negotiating O.T. days, shift assignment to follow staff procedures requirements.
Scheduling on this level requires planning and developing of the method for getting schedules established in the required time frames. Outcomes are responsible and demonstrate capability and dedication to task. Works well with others. Is cooperative and service oriented. Arrives to work on time and at work when scheduled. Manages time well requires minimum supervision. Work of this nature is diversified involving multiple, unrelated steps. Analytical thought is necessary for dealing with complex schedules and situations. This work requires planning.
Coordinates daily staffing schedule activities for nursing services. Determines which information requires immediate attention of the executive and delegates or refers other matters to various management nursing staff in unit programs. Coordinates office services, such as personnel staffing for nursing service on all three shift and record management control. Performs office management duties; oversees the maintenance of required staffing data. Responsible for the procurement of supplies; maintenance of inventory records. Advices other department head and executives’ administrative policies at the direction of the Supervisor.
Develops nursing service staff schedule in accordance with hospital’s current policies and procedures. Manages assigned responsibilities with competence, demonstrating initiative and good judgment. Attends to all assigned responsibilities and special assignments. Provides monthly reports by the 5th of each month as assigned to the Supervisor.
Demonstrate continued competency in providing core staffing for quality patient care as evidenced by work performance evaluations, quality improvement/risk management (QI/RM) reports and findings.
Assumes and answers the Call-In phone timely, is courteous and respectful to callers, deals with information from callers accurately and timely according to policy and training.
The incumbent is the lead contact in the Scheduling Department. In this position you will provide supervision of all Administrative Assistants in the department. You will coordinate and provide training to new employees and provide coverage when needed in the staffing department.
This position requires the ability to exercise independent judgment in evaluating situations and making decisions. Ability to apply and explain rules, regulations, policies and procedures. Ability to understand and follow verbal and written instructions; read and comprehend written material. Ability to communicate effectively both verbally and in writing.
The incumbent of this position has a chance of authorized access or the potential of incidental exposure to Protected Health Information (PHI) under the provisions of the Health Insurance Portability and Accountability Act of 1996 (HIPAA) Privacy Rule. PHI must be treated in accordance with the provisions of the HIPAA Privacy Regulations including requirements for safeguarding, releasing and recording the release of such information. The incumbent has been trained in the provision of the HIPAA Privacy Regulation as they relate to the duties of this position.

Minimum Qualifications: Four year of experience general office, clerical and administrative support work. Relevant education may be substituted for experience as determined by the agency.
