The Scheduling Specialist is responsible for managing all aspects of the patient scheduling process. The specialist is responsible for establishing and maintaining Positive relationships with all community referral resources, agency clinicians, Patients and families. The specialist is responsible for responding to customer requests, and concerns as they pertain to the scheduling process and managing insurance verification and authorizations.

ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES

1. Performs all daily patient scheduling operations including assisting with the direct oversight of the Agency Program as it pertains to the scheduling process and implementation of its scheduling policies procedures.
2. Remains familiar with all state, federal and special accreditation regulations pertaining to the scheduling process.
3. Assists in the evaluation and implementation of improved work methods and practices to ensure patients are seen and care is provided in accordance with the agency Policy and Procedures.
4. Establishes and maintains positive working relationships with current and potential patients and clinicians.
5. Ensures the seamless transition of patients to home care by calling the patient and clinician after the Start of Care to confirm and verify the schedule outlined by the insurance company and or the SOC clinician.
a. Ensures reimbursement of home care services through direct oversight of insurance verification and authorization through. E solutions (Medicare) managed care; verify insurance eligibility month with ongoing cases.
b. Updates Patient Chart in Kinnser. Responsible for updating patient charts as needed. When receiving Pharmacy information or other information not obtained at SOC; will assist clinician in updating clinical records.
c. After SOC, identifies potential staff member to continue as primary clinician; Calls clinician to confirm availability schedule acceptance.
d. Data entry: Responsible for data entry of all patient scheduling information.
e. May Assist with daily labs; printing, submitting to Clinical Supervisor, Director or Clinical Coordinator for review; then fax to MD once labs are signed by Supervisor. After Sup sig and faxed to MD; upload to Pt. chart; write Kmail to clinician informing them of labs; if Critical results, phone clinician and MD.
6. Responsible for scheduling all needed tasks for clinicians including all Oasis Assessments (ROC, Recerts, Transfers, Discharges), plus Transfers, Summaries, MD orders, etc.
7. Responsible for monitoring hospitalizations, entering data into Kinnser, calling hospitals on a daily basis for Pt. DC status, and clinician notification of discharge.
8. Responsible for charting pertinent conversations pertaining to pt. care in Kinnser.
9. Responsible for participating in Case Conferences as needed.
a. Responsible for educating clinical staff as it relates to scheduling as needed.
b. Responsible for creating and maintaining Human Resource files; obtaining needed staff information and uploading to Kinnser software; Staff notification of upcoming and delinquent requirements such as licenses, certifications, insurance, PPD, health questionnaires etc.
c. Responsible for participating in coverage of after-hours, On Call/Triage phone Program. Will accept phone calls, record in Triage log, M-F evenings and weekends. Staffing specialist will alternate with other office staff to ensure 24/7 patient coverage. Alternating weeks with other office staff members, and will provide coverage over the weekend. Weekend coverage includes monitoring ECIN and responding to potential referrals.
d. Assists the management staff with any other tasks that are necessary to help the operations of the agency. The incumbents may be requested to perform other tasks that are not directly related to scheduling but are deemed necessary at the time to maintain consistent operations of the agency.

Job Type: Full-time

Pay: $16.00 - $20.00 per hour
