Hourly Rate: $21.76, Annual Rate: $45,269 Effective as of: 08-16-2022

**Annual salary noted above is based on an 8 hour day and full days worked calendar. Any position that is less than a full FTE/8 hours per day or late start will be prorated accordingly.

PRE-EMPLOYMENT REQUIREMENT


The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.

RESPONSIBILITIES


Responsible for receiving, analyzing, processing and filing documentation regarding early learning staff members. Assist in maintaining of general files and lead work related to all required background checks. Provide customer service, administrative and technical support to schools, administrators, employees, and to the general public, especially in regards to recruiting, interviewing and hiring for early learning department. Key skills include customer service, attention to detail and ability to work independently and as part of a team.

SUMMARY: Position is responsible for conducting all aspects of preschool support including financials, human resources, and student data. Provides support to all preschools, directors, preschool teachers, and parents.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Set-up new vendors, process 1099 paperwork for payment by Accounts Payable. Process and send monthly nVision reports to directors at all sites. Generate fees and change fees in Cash Income for students. Clear over/short accounts, record NSF fines. Create and send owed fee lists/statements to directors and parents monthly.

Reconcile p-card charges, run p-card reports, and process and verify all p-card logs monthly for staff members. Verify receipts and deposits in Cash Income.

Verify and process all aspects of October Count for preschools and Community Partners. Responsible for enrollment/withdrawal, October Count and voucher payment for Community Partners.

Train new Directors/Assistant Directors.

Manage the financial transactions for preschool to include ordering materials, PeopleSoft Financials (payment of invoices, purchase orders, requisitions, journal entries and cash income), petty cash, etc.

Responsible for entering time, and labor, reviewing and printing time cards for staff members.

Provide secretarial support for Preschool Directors/Assistant Directors.

Responsible for answering phones and provide customer service to parents regarding the preschool program.

Enroll all students in Campus and Maintain up-to-date, household and withdrawal records.

Perform other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required.

EXPERIENCE: 2-3 years secretarial experience.

SKILLS, KNOWLEDGE, & EQUIPMENT: Requires oral and written communications, interpersonal, organizational, public relations, phone etiquette, and advanced computer and software (Microsoft Office - Word & Excel), Internet, e-mail, voicemail and general office equipment at time of hire. Requires PeopleSoft Financials, H.R. and Student Information systems within 1 month of hire (prefer at time of hire). Have the ability to handle multiple tasks and deadlines. May be required to take the District Skills Assessment Test as part of the application process.

CERTIFICATES, LICENSES, & REGISTRATIONS: None required.

SUPERVISION/TECHNICAL RESPONSIBILITY: This position does not have supervisory responsibilities. Position acts as a technical resource within the immediate department to include preschool directors and other staff members regarding the District's PeopleSoft H.R., Financial and Student Information systems.

CONTACTS: Daily contact with persons within/outside department/building, vendors/suppliers to resolve problems orsettle matters; parents to furnish or obtain information. Weekly contact with the general public to provide a service.

SAFETY TO SELF AND OTHERS: High exposure to self to repetitive motion injuries due to key boarding. Low exposure to self to cuts and bruises due to typical office accidents.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, and talk and hear. The employee occasionally is required to stand, walk, and reach with hands and arms. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.

WORK ENVIRONMENT: The noise level in the work environment is usually moderate.

MENTAL FUNCTIONS: While performing the duties of this job, the employee is regularly required to copy, instruct, and use interpersonal skills. The employee is frequently required to communicate and compute. The employee is occasionally required to compare, analyze, coordinate, synthesize, evaluate, compile and negotiate.

JUDGMENT AND DECISION MAKING: Work is assigned by the Lead Technician and Preschool administrators. Typical decisions include the analysis of time & labor for Preschool staff, if there are reoccurring concerns a decision would be made to involve additional staff members in the resolution of the problem. Decision making is guided by District Policies, H.R., Student Services and department procedures. Decision making may require collaboration with Lead Technician and Preschool administrators. Errors in decision making could lead to the compromising of the October 1 count (CDE) and cost the Preschool Program PPOR for the Colorado Preschool Program. The error would be discovered by the Student Data System or during CDE's audit.
