About This Position
The School Secretary works as part of an office team to perform secretarial duties. Working under general supervision within a framework of established procedures, perform a wide variety of secretarial tasks. Serve as clerical assistant to the Secretary IV. Provide assistance to ensure an organized, well-run office environment. Ensure the school office has a welcoming, safe and respectful climate for students, parents, staff and community
Essential Functions
- Provides secretarial support to the principal and other administrative staff.
- Prepare and maintain various clerical records, reports, schedules, and information essential to the smooth operation of the school office with a high level of accuracy and organization.
- Responsible for student registration enrollment and records using the district’s data systems.
- Support administration with student class schedules.
- Work cooperatively with and assist other administrative office staff to maintain and report payroll, substitute, policy, and other essential building level and district information.
- Perform clerical work and typing with speed and accuracy. Work independently on difficult clerical tasks.
- Answers telephones and respond to inquiries; screens telephone calls.
- Understand and maintain confidentiality of information. Handle all situations in accordance with district policy and procedures.
- Interact with students, parents, staff, and community members, personally and through electronic communications, in a warm and confident manner; exercising good judgment and discretion in all contacts.
- Inventory, order, receive, and distribute school supplies, either personally or by delegation, in accordance with workload.
- Prepare requisitions and assist in preparation of budget requests.
- Assist with distribute or oversee distribution of daily incoming mail and coordinate outgoing mail processes.
- Foster communication within the building, to and from parents, and within the district, as appropriate.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities
- Knowledge of modern office methods, practices and procedures.
- Strong organizational skills and ability to readily adapt to changing priorities of fast-paced office.
- Ability to establish and maintain effective, professional relationships and work in partnership with supervisors, other staff, students, and the general public.
- Ability to make some independent judgments with prescribed policies and procedures and perform essential functions with a minimum amount of supervision.
- Ability to perform using excellent organizational, communication, and problem-solving skills; good judgment; and the ability to foresee and prevent problem situations.
- Ability to maintain confidentiality of all school and personnel matters.
Minimum Requirements
- High school diploma or equivalent
- Training and/or experience in secretarial, office management, and bookkeeping skills.
- Ability to effectively communicate with students, staff, parents and community
- Proficiency with various software programs; e.g., MS Office applications
- Have or obtain valid first aid/CPR card
- Provide proof of vaccination against COVID-19 or request approval of a medical or non-medical exception using the appropriate Oregon Health Authority’s request form
Preferred Qualifications
- Bilingual in Spanish; bilingual candidates will be placed at Level M of the classified salary schedule
Compensation
- The Secretary III position is at Level L of the classified salary schedule and is based on a 205-day/11-month work year
- The estimated beginning salary for this position is $17.85-$18.94 per hour; however, highly experienced candidates may be placed higher on the salary schedule at hiring
- Applicants who hold a Bachelor's degree will automatically be placed at Step 3
- Where will I be placed on the salary schedule?
- In addition to this salary, the Canby School District will pay the employee’s 6 percent PERS contribution
