JOB DESCRIPTION

JOB GOAL:

To provide responsible and complex secretarial and clerical work involving administrative responsibility to assigned school.


QUALIFICATIONS:

  • High School Diploma or equivalent.
  • Minimum of three (3) years of successful clerical and secretarial work.
  • Comparable amount of training and experience may be substituted for the minimum qualifications.


KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of business English, spelling, punctuation, and arithmetic. Knowledge of school office practices and procedures. Knowledge of school rules, regulations and functions and the ability to apply such knowledge to complex work problems and situations. Knowledge of school office management practices. Ability to compose effective and accurate correspondence. Ability to deal with non-routine matters with minimum instruction and supervision. Considerable knowledge of school records and files maintenance. Ability to assemble and organize data and to prepare composite reports from school records and files. Ability to communicate with the public in an effective and courteous manner. Ability to operate a computer and utilize software applications such as word processing, databases and spreadsheets. Ability to plan, organize and prioritize activities. Knowledge of bookkeeping and payroll functions. Ability to answer the telephone in a professional and courteous manner. Ability to handle sensitive information with confidentiality.

PERFORMANCE RESPONSIBILITIES:

  • Perform duties as aide to the principal in an elementary, middle or high school.
  • Interpret administrative school policy and decisions as explained and directed by the Principal.
  • Transmit instructions with the authority of the Principal.
  • Receive telephone and personal callers, providing detailed or technical information regarding operations of the school.
  • Refer callers to proper room or unit as required.
  • Perform public relations functions with school personnel, parents and the general public.
  • Perform detailed clerical and bookkeeping activities.
  • Prepare special statistical studies and reports.
  • Supervise subordinate secretarial or clerical personnel as required.
  • Plan and coordinate meetings, conferences and appointments for the Principal as required.
  • Prepare material for meetings and conferences.
  • Make travel arrangements as required.
  • Compose and prepare correspondence.
  • Prepare and process school reports, forms and contracts.
  • Prepare and maintain accounting, payroll and other school records and files.
  • Receive and sort mail.
  • Perform computer data entry, word processing, and text management activities.
  • May be assigned school bookkeeping duties maintaining school budget accounts.
  • Coordinate with vendors and school personnel concerning account status.
  • Ensure adherence to good safety standards.
  • Maintain confidentiality regarding school/workplace matters.
  • Model and maintain high ethical standards.
  • Represent the district in a positive and professional manner.
  • Respond to inquiries and concerns in a timely manner.
  • Keep supervisor informed of potential problems or unusual events.
  • Follow federal and state laws as well as School Board policies, rules and regulations.
  • Demonstrate support for the school district and its goals and objectives.
  • Prepare all required reports and maintain all appropriate records.
  • Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
  • Perform other tasks consistent with the goals and objectives of this position.


PHYSICAL REQUIREMENTS:

Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force as frequently as needed to move objects.

TERMS OF EMPLOYMENT:

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be those established by the District.

EVALUATION:

Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of personnel.
