SENIOR ADMINISTRATIVE ASSISTANT
GENERAL DEFINITION AND CONDITIONS OF WORK:
Performs complex technical and difficult administrative work assisting the Executive Assistant to the County Administrator with a variety of complex office assistance and administrative tasks; does related work as required. Work is performed under general supervision of the Executive Assistant.
This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires reaching, standing, grasping, fingering, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word, and conveying detailed or important instructions to others accurately, loudly, or quickly; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
ESSENTIAL FUNCTIONS/TYPICAL TASKS:
Preparing complex department materials; assisting the public; scheduling appointments; typing, word processing and data processing duties; maintaining complex and/or confidential records and files; preparing reports. Represents department in a variety of public and official capacities; Provides a variety of complex office assistance tasks; Takes dictation and composes letters and memoranda; Assists in the preparation and submission of grant applications; Assists in the design, development and submission of program proposals; Determines future needs; Evaluates administrative policies and practices; recommends and implements new policies; Handles routine issues when supervisor is absent; Coordinates hiring of personnel; Performs related tasks as required.
KNOWLEDGE, SKILLS AND ABILITIES:
Comprehensive knowledge of standard office and legal practices, procedures, equipment and office assistance techniques; comprehensive knowledge of business English, spelling and arithmetic; comprehensive knowledge of the organization and functions of the department and of general administrative policies and practices; ability to keep office records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to type and transcribe dictation at a reasonable rate of speed; ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor; ability to establish and maintain effective working relationships with associates and the general public.
EDUCATION AND EXPERIENCE:
Preferred two years of college with any combination of education and experience equivalent to graduation from an accredited community college with major course work in office technology or related field and extensive experience in the office of an executive including some supervisory experience.
SPECIAL REQUIREMENTS:
May require Notary Public certification.

Pay: $39,428.00 - $45,000.00 per year
