Agency Information: Osawatomie State Hospital (OSH) is licensed by the State of Kansas to provide care and treatment for adults diagnosed with psychiatric disorders regardless of ability to pay. OSH serves individuals from 36 counties in Kansas in collaboration with 12 Community Mental Health Centers (CMHCs). The centers refer individuals for admission to the hospital through a collaborative screening process. There are currently two hospitals on the Osawatomie campus in Miami county: Osawatomie State Hospital and Adair Acute Care.

Position Summary & Responsibilities

Position Summary: Employee is responsible for the admission intake and medical record procedures involved in the admission of patients and for general clerical work and document imaging required to maintain patient records and process patient data. This position provides receptionist/console duties for the hospital afterhours and is responsible for release of information to outside agencies for emergency requests during afterhours.


Job Responsibilities may include but are not limited to the following:

Intake Office: Receives incoming calls regarding admissions from Mental Health Centers, police departments, District Court Services, and outside hospitals and physicians and completes the Request for Admission/Transfer form. Obtains pertinent identifying information to streamline the admission intake. Obtains information for Doctor to Doctor calls and notifies the physician when appropriate. Attempts to clarify validity of legal application and Mental Health Reform paperwork during pre-admission calls in order to alleviate problems when patient arrives for admission. On arrival of the patient, checks referral papers for compliance with Kansas statues on Mental Health Reform, and legality of admission application or court order. Checks guardianship paperwork for legality when appropriate and notifies Court Services. Follows up and obtains required admission documents if necessary, by calling the appropriate outside agency. Interviews the patient to obtain identifying information for the Patient Care System. Obtains the patient’s photo and presents the consents for the Hospital Directory and Assignment of Insurance Benefits Authorization to patient or guardian. Gives brief explanation of Advance Directives and asks patient if they have one in place. Present orally and in writing the patient’s rights and secures signed receipt. Prints the wrist band and attaches to patient including colored band. Upon completion of the admission interview notifies the receiving unit and physician that the patient has been admitted. Forwards admission documents to patient treatment unit with the patient. Scans and downloads all outside agency and Mental Health Center Screening into the Patient Care System and forwards these documents to patient treatment unit with the Physician/Nurse packet. Scan the remaining consents, legal rights documents into the Patient Care System immediately upon the patient being transferred to the unit using the Scanning Documents Guidelines. Documents and notifies any problems occurring with intake process to the Intake Manager.

Document Automation: Prepares medical records for electronic scanning by assembling, completing check sheet from MRT and inserting the appropriate “bar code” dividers in accordance with set guidelines. Scans medical record, processes the file, completes the quality control, and downloads the file into the Patient Care System. Destroys record in accordance with procedure.

Other Duties: Assists/responds to request for medical records from Release of Information Specialist by scanning in entire medical record into PCS or faxing information. Provides console coverage during break for Console Specialist when assigned. Performs general office duties such as answering phones, sending/receiving Fax copies, sorting and distributing office mail. Maintains closed record filing system according to hospital procedures, retrieves/files medical records as requested. Checks and obtains supplies for the intake office. Assembles intake packets and Physician/Nursing packets. Other duties as assigned by Intake Manager.

  • Minimum Qualifications: One year of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency. Must have the ability to access, input and retrieve information from the computer. Must have ability to communicate with the public in person and over the phone. The employee must be able to meet the physical demands, i.e., talking, hearing, seeing, occasional stooping, kneeling or bending, lifting #25 and the ability to move about the campus
