We are seeking a dynamic individual for the role of a Senior Leadership Coordinator to support the DYS Central Office including support to residential and community programs in a variety of areas. The Department of Youth Services (DYS) is the juvenile justice agency for the Commonwealth of Massachusetts. We work with young people who are detained or committed and provide detention, custody, diagnosis, education, and support to young people ages 7-21. Most of the youth served are between the ages of 14 and 18. The Department promotes positive change for the youth committed to our care and has been at the forefront of de-institutionalization, in part, by providing adolescent-focused rehabilitation to youth in residential treatment.

The Program Coordinator II – Senior Leadership Coordinator II is responsible for, but is not limited to the following:

1. Creating and drafting correspondence, letters, reports, spreadsheets, and other documents; proofreading documents for accuracy and completeness; managing electronic and paper files efficiently; scheduling meetings as required.

2. Creating through Excel and maintaining spreadsheets and databases; compiling statistical information and preparing reports as requested.

3. Maintain accurate records of all communication and paperwork submissions; respond to inquiries internally and externally.

4. Order supplies, and perform related work as required. Serve as keeper of the records for the Central office.
5. Develop and maintain a good working relationship with Central Office Senior Managers, regional Offices, DYS programs, providers, and other department members resulting in the quality operation of the DYS Central Office.

6. Analyze and organize office operations and procedures such as documentation, maintaining inventory, requisition of supplies, maintaining internal controls, and other clerical services. Working knowledge of Microsoft Office (word, excel, PowerPoint, Access, and Outlook).

7. Collaborate with Central Office Managers, and DYS HR by coordinating interviews and supporting candidates through the hiring process

8. Complete and submit network access forms including SCR-1 forms for email and JJEMS access.

9. Participate in Central Office and departmental meetings and committees including Workforce Development.

10. Assist with various special projects and coordinate events as needed.

11. Assist Central Office Manager/Supervisors with creating EPRS and work with DYS HR to administer a process to the EOHHS HR group.

12. Coordinates meeting logistics for monthly Senior Staff, quarterly All Staff meetings, and other meetings as requested.

13. Coordinate, handle, and prepare materials/information that is confidential and sensitive, as they relate to DYS planning and programs administration, and strategic policy-making, perform personnel, fiscal and administrative functions; handle all confidential files/documents, some of which may relate to performance reviews, internal policy, and other sensitive/confidential matters.

14. Perform related duties as required.


Required Qualifications:

  • Possess excellent organizational skills and superior attention to detail.
  • Demonstrate self-motivation, resourceful, detail-oriented, and energetic.
  • Must be a team player and have outstanding data entry, and proofreading skills.
  • Excellent communication and interpersonal skills.
  • The ability to prioritize and handle multiple projects is essential.
  • Must be proficient in Microsoft Office and quickly study new computer programs.

Transportation Requirement: Candidate must have reliable transportation.

Minimum Age Requirement: 21 years

Qualifications

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:
I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.*

II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.*

III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

  • Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
