Position: Senior Manager, AED Programming and Performances

Department: Arts Education

Reports To: Sr. Director, AED Performances and Special Event Operations

Status: Full-Time

Supervises: Coordinator, Performances


Position Summary:

The Senior Manager of AED Programming and Performances works across all Arts Education divisions and in partnership with the Production and Programming departments to program and manage Arts Education performances from point of sale to event execution; managing rentals and client needs, programming bookings and special events. The position will directly support the Sr. Director of Arts Education Performances in collaboration with all members of the Arts Education team to effectively manage and efficiently implement the Arts Education program performances and show seasons.


Essential Duties and Responsibilities:

Subject to the policies and management direction established by the Vice President for Arts Education, the duties of the Senior Manager of AED Programming and Performances shall include:


Performance Management (40%)

  • Advance and execute Arts Education SchoolTime matinee season of 10+ shows representing Theater, Dance, Music (Jazz & Hip Hop) and Theater for Young Audience performances, in conjunction with the Programming Department, including but not limited to special events, in-person and digital performances.
  • Responsible for ensuring the creation and dissemination of Teacher Resource Guides (TRG) podcasts development including, selection of TRG committee, relationship management of podcast production company, proof-reading copy, faculty workshop development and distribution to schools, in collaboration with the Curriculum team.
  • Manage Arts Education Recitals from advance to execution including curatorial & production aspects for in-person, digital realtime and pre-recorded performance, completing post event reporting and complete event financial reconciliation.
  • Attend institutional Calendar, Events and Programming meetings, as department representative.
  • Assist in Stage Management and Production Management needs with NJPAC/AED events.
  • Responsible for the accuracy of the marketing materials and design of social media campaigns and content for AED SchoolTime and Recital programming.
  • Liaising and communication with Marketing, Box Office, Front of House and Production departments and day of show duties regarding all arts education performances.

Colton Institute College and Career Programming (40%)

  • Develop, manage and execute Adult Programming season to cultivate new audience between 18-26 for Masterclasses and workforce development, managing and reporting department financials.
  • In collaboration with faculty leads, oversee artist contracting, rehearsal schedules, ensure client and performance needs are met and secure all necessary licensing and approvals for Colton College and Career Program. Assist with development of new special programs under the Colton Institute College and Career Program including but not limited to, Technical Theater and Private Lesson programs.
  • Collaborate with AED Program Operations team, in identifying potential schools and students for recruitment opportunities and development of student, family and alumni networks.

Administration and Budgeting (20%)

  • Manage financial reporting for SchoolTime Matinee Series and Arts Education Recitals via Salesforce database ensuring reporting is organized and accurate, including generating budgets, event settlements ensuring achievement of fiscal year budget sales goals.
  • Oversight of Performance division contracting procedures including ensuring accuracy of contracts and financial reporting for all events.
  • Approve payroll and maintain accurate budgeting records for events and faculty payroll approval as needed.
  • Draft and compile program correspondences, presentations, program booklets, project descriptions and project reports for all programs under purview.
  • Supervise workload of Coordinator, Performances to ensure work meets annual deliverables.

Qualifications and Special Requirements:

  • 3-5 years experience in arts education with responsibility for performance and production aspects for Theater for Young Audiences work (TYA), Jazz, Theater, Dance, Hip Hop, Performance Poetry, Film and Musical Theater.
  • Experience working in large performance venues with union crews and staff.
  • Detail oriented, collaborator and project leader with comfort with public speaking/hosting duties as needed.
  • Must be able to effectively communicate the goals and concepts of the NJPAC Arts Education Department to the public.
  • Strong oral and written communication skills.
  • Strong computer skills and strong working knowledge of Microsoft Word, Excel, Google Docs, and PowerPoint software required, experience with Salesforce, Arts Vision or databases is a plus.
  • Able to work flexible hours, evenings and weekends as needed.
  • Bachelor’s degree in an arts-related field or commensurate experience. Master’s Degree preferred.
  • Center principles of equity, inclusion, and belonging in all work; embedding the values in program development, policy application, and department practices and processes.
  • Having access to a reliable vehicle for travel throughout New Jersey is a plus.

NJPAC requires all employees to be fully vaccinated (including booster vaccination) for COVID-19 prior to starting work, unless precluded from doing so by applicable law. Proof of vaccination is required prior to the applicant’s first day of work.
The CDC currently defines “fully vaccinated” as two weeks after the second dose for Pfizer and Moderna and two weeks after the single dose of Johnson & Johnson.
