IES safely and reliably operates a large distribution system across four islands consisting of six terminals. IES is currently seeking a Senior Payroll Specialist to join our team.
SUMMARY
Under the supervision of the VP Human Resources, the Senior Payroll Specialist (SPS) is responsible for processing bi-weekly and weekly payroll processing for IES Downstream and Retail (approximately 240 employees and 6 pay groups). This position requires the ability to respond to a variety of payroll questions from salaried (2 groups), salaried non-exempt, non-exempt hourly and bargaining unit (2 groups) of employees. Required competencies include accuracy, attention to detail, and a proven ability to interact with employees in a timely basis and with a high degree of professionalism. The ideal candidate must be able to establish priorities under tight deadlines and have a proven track record as a motivated, self-starter who can work on multiple projects and priorities within a fast-paced environment. Incumbent is expected to have sound knowledge of payroll processing functions through a Human Resources Information System (HRIS). Prior relevant experience in energy, manufacturing industries is a plus.
MAJOR RESPONSIBILITIES include but not limited to:
- Is the primary Ceridian Payroll Processor for all IES pay groups. Ensure pay is processed on time, accurately, and in compliance with government regulations. Assist with Ceridian payroll policy set-up and payroll audit processes and procedures. Conduct Ceridian training for new Supervisors and employees.
- Ensure payroll compliance with IBEW and USW Collective Bargaining Agreements. Work with Terminal Managers and Supervisors on a variety of payroll processes and procedures. Assist with guidance and assistance in the implementation of CBA payroll policies and work with Ceridian to ensure pay policies are set-up correctly in the system.
- Ensure pay entries are entered correctly in Ceridian such as signing, retention, tuition and other employee recognition and reward compensation. Work with Station Management and the HR Retail Partnership team on a variety of payroll and benefit initiatives.
- Implement, maintain, and review processing systems to ensure timely and accurate processing of payroll transactions including salaries, garnishments, taxes, and other payroll deductions. Verify Quick Entries (QE’s) for all pay changes and adjustments including signing, retention and U-Time payouts as well as other pay adjustments as needed.
- Ensure quarterly and yearend financial reporting in Ceridian is up to date and confirmed by government agencies.
- Manage and complete annual payroll processing and holiday calendars and train other team members on payroll processing as needed.
- Benefit Administration. Reconcile on a monthly basis all benefit invoices with payroll (employee and employer cost) with new and terminating employees. Assist with annual Benefits Open Enrollment.
- Assist with update and maintenance of payroll guidelines and payroll records in compliance with federal and state law.
- Minimum three to five years of progressive weekly/bi-weekly payroll processing experience.
- Working knowledge of HRIS payroll system(s).
- Associates Degree in Accounting or related field.
- Must be able to qualify for a Transportation Worker Identification Credential (TWIC).
- Ability to uphold to strict ethical standards: integrity, objectivity, and confidentiality. Strong work ethics.
- Proficient Microsoft Office Suite skills, including editing and proofreading.
- Ceridian Dayforce HRIS software, highly desired.
- ADP HRIS software, highly desired.
$65k to $90k commensurate with experience, plus generous company benefits.

OTHER REQUIREMENTS
- This is a salaried non-exempt position under FLSA regulations.
- Employment is contingent upon successfully passing an employee reference check, drug test, criminal background check and a five-year motor vehicle history check.

- Must be able to obtain a Transportation Worker Identification Card (TWIC) within sixty days of hire.
- Valid driver’s license with clean abstract.
