As the Service Coordinator and Dispatcher, you are responsible for providing administrative and document control support to the the service operations manager and office manager. What you’ll be doing:

The service coordinator and dispatcher supports the office manager & service operations manager in coordinating all purchase orders and managing all work orders and billing. You will be working in Harder’s service department, directly supporting to schedule, assign and dispatch field technicians to meet customer service requests.

Document Control Admins at Harder perform the following daily tasks:

  • Dispatch, schedule & assign work orders service requests for all customers
  • Assist in managing email communications from customers
  • Answers phone calls and support service staff when necessary
  • Create and manage new work orders for all service requests with clear scope of service to be performed in detail
  • Enter data accurately in the work order notes to ensure correct invoicing
  • Ensure proper information is obtained and entered in company software for all service calls
  • Assist with proposals and correspondence letters
  • Create purchase orders by request
  • Update purchase orders in company software, as needed once the packing slip is received
  • Research and resolve vendor invoices discrepancies and issues
  • Maintain vendor files with certificate of insurances up to date
  • Correspond with vendors and respond to inquiries
  • Assist Office Manager in resolving customer billing problems and solve account receivables delinquency, applying good customer service in a timely manner
  • Identify issues attributing to customer account delinquencies and discuss them with Office Manager
  • Maintain confidentiality of organizational information
  • Assist service operations manager & office manger with any other duties assigned

What you will need to be successful in this role:

  • Strong communication, problem solving & analytical skills required
  • Excellent attention to detail with an eye for accuracy
  • Excellent organizational skills
  • Ability to read and interpret field service work orders and determine/implement the appropriate course of action or follow up
  • Knowledge of general accounting procedures
  • Competent with various software programs such as Word, Excel, Outlook, and Bluebeam
  • Ability to work independently and to adapt to a fast-changing environment
  • Creative, self-disciplined, and capable of identifying and completing critical tasks independently and with a sense of urgency
  • Exceptional customer service skills, high level of patience and professionalism are required
  • Eagerness to learn and grow with the team
  • Valid Driver’s License

Education/Experience:

  • 3+ years of experience in administration supporting teams in a high-paced environment, construction setting preferred.
  • Experience in a construction environment or similar industrial setting
  • Previous document control experience
  • High School diploma required
