This position is located in the Office of Budget and Resource Management (BRM). The mission of BRM is to strengthen USAID’s capacity to manage its resources more effectively in order to deliver results and outcomes in the field. This position will support the Director of the BRM (Senior Executive Service) and Deputy Director (Senior Leadership Group).
Scope of Work
The Special Assistant provides a wide range of administrative support to the BRM Director (Senior Executive Service) and the BRM Deputy Director (Senior Foreign Service (SFS) - Senior Leadership Group). The incumbent prioritizes deliverables, tracks impending deadlines, and handles multiple tasks simultaneously. He/She acts as a liaison between the Director and Deputy Director with Front Offices for other USAID senior leadership. The Special Assistant develops a working knowledge of the Agency priorities and initiatives, USAID policies and procedures, USAID program budget functions, and participates in a variety of projects and assignments with minimal supervision.
Duties and Responsibilities
1. Reviews principals’ daily calendar to ensure that the principal's day-to-day schedule is well-planned and facilitated in terms of background, briefers, and issues to be covered in daily meetings;
2. Maintains regular contact with Agency bureaus/independent offices to obtain briefing materials, background documents, and other related materials for principals;
3. Researches and reviews key documentation for approval by Director and Deputy Director ensuring input is understandable and includes information relevant to the issues;
4. Develops agendas and talking points for meetings for senior BRM principals;
5. Assist with the review of budget materials and helps the BRM budget teams to prepare reports and presentations;
6. Serves as a point of contact for the staff including scheduling internal meetings for BRM’s leadership team and keep them abreast of important due dates or deadlines (Webta submission);
7. Provides administrative support for conducting periodic inventories of all equipment, supplies, and property and preparing requests as needed for approval by the Director;
8. Handles routine inquiries that require knowledge of the BRM activities or internal administrative procedures and refers inquiries as needed;
9. Assist with the management of USAID listservs and mailboxes including the updating, transmission, and tracking of relevant materials;
10. Provide support on administrative management issues and to the BRM Operations team as needed;
11. Attends meetings as needed and coordinates special projects.

Required Qualifications
1. Proficiency in the use of Google Applications and Microsoft Office Suite (Word, Excel, PowerPoint);
2. Ability to work in a fast-paced environment with competing and and shifting priorities;
3. Ability to efficiently multitask and prioritize workload accordingly;
4. Ability to establish and maintain effective working relationships and interact with people at all management and support levels;
5. Excellent written and verbal skills in English. The ability to read, analyze, and interpret policy documents, reports, and correspondence; and
6. U.S. citizen eligible to obtain a secret level security clearance.
Education
Bachelor's Degree required in International Affairs, Communications, Economics, Public Policy, Business or related field and one year of relevant experience.
USAID Assumptions and Constraints
1. Support may be required outside of core hours. The contractor will be notified in advance if after-hours support is required.
2. Ability to telework will be based on office staffing requirements.
3. Some travel may be required.
