Position Overview
The Sr. Payroll & Benefits Associate is responsible for payroll processing and benefits administration across multiple entities and divisions in close partnership with the Payroll & Benefits Associate Manager. Reporting to the Payroll & Benefits Manager, you deliver highly responsive and superior customer service, ensuring payroll and benefits are processed on time, accurately and in compliance with all government regulations. You are seasoned in payroll and benefits administration in a complex and multi-state environment, processing payroll for approximately 400 team members and growing. You enjoy building effective processes and meticulously organizing and processing data. You are proven in developing and maintaining positive relationships and serving as a trusted go-to source for payroll and benefits administration support and best practice recommendations. You may not know all the answers, but you are resourceful and committed to finding them!
What You Will Do
Payroll & Benefits Processing
- Administer the payroll and benefits processing across multiple entities and pay frequencies, ensuring accurate and timely processing of payroll and benefits, and execute the necessary compliancy with federal, state, and local regulations
- Ensure the timely and accurate processing of team member 401K contributions and company match, participate in the 401K audit to provide the necessary support
- Assist Payroll & Benefits team in implementing and maintaining the payroll and benefits functions within the HRIS system (Paycom), which includes auditing earning and deduction codes, accruals, and position management to provide clean and reliable reporting
- Develop and document procedures
- Assist with special projects as needed
Cross-Collaboration
- Coordinate with the Payroll & Benefits Associate Manager regarding the set-up of new locations, which includes, class code designation and required reporting regarding workers compensation, OSHA reporting and required postings and notices
- Collaborate with the Talent Management team on the successful onboarding/offboarding/transitions of team members across entities including but not limited to assisting with the set up of new positions, position seats and locations within the HRIS
Compliance
- Assist Payroll and Benefits Associate Manager with the state, local payroll and unemployment tax account registration with 3rd party tax provider partners and the internal tracking of accounts and account access
- Exhibit knowledge of the payroll function including preparation, balancing, internal control, payroll taxes and all pertinent federal, state, and local regulations
- Demonstrate understanding of federal, state, and local filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, COBRA, FMLA, and DOL requirements
- Assist with the distribution of physical or electronic mail and notices regarding unemployment claims, payroll tax accounts, tax rates, employment verifications and other miscellaneous payroll, 401k or benefits notices to the appropriate team members for action

- Occasional travel may be necessary as needed, not a requirement

Ideally, you'll have
- 5-8 years as a team member in a payroll and/or benefits department with primary responsibility for multi-state payroll processing and benefits administration
- Proficiency within payroll (HRIS) software systems
- Advanced knowledge of federal and state payroll laws and standard payroll processing procedures
- Impeccable regard for using discretion with confidential documents and information
- Demonstrate sound judgment in prioritizing competing demands
- Effective professional communication skills (written and verbal)
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Proficient with Microsoft Office Suite and Google Workspace
You'll crush it if you have experience with
- Experience processing multi-state payroll for 500+ employees
- Serve as the back-up for corporate payroll and benefits processing, 250+ team members
- Previous (HRIS) experience with Paycom
- Previous experience within the Real Estate industry
- CPP (Certified Payroll Professional)
Key Priorities for the First 90 Days
- Transition our payroll/benefits processing for operating properties in-house from our 3rd party provider, serving as the primary processor of payroll & benefits for 250-person payroll and growing by 4/1/23
- Support the 3/1/23 benefits renewal and open enrollment process.
- Research payroll & benefits discrepancies and assist in establishing processes to streamline resolution and improved processes
