We are looking for an Senior Executive Assistant to report to and provide administrative and project support to a Senior Vice President (SVP) and a Vice President (VP) while exercising the highest level of discretion and tact in interactions with Fed System and District personnel, Bank boards of directors, financial institution executives, government representatives and other constituents.
RESPONSIBILITIES:
  • Provides the SVP with information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, interviews, etc.
  • Makes travel arrangements.
  • Maintains calendars; uses discretion to schedule appointments to avoid conflicts and ensures that any rescheduling does not have unacceptable implications for other participants; uses the appropriate mechanism to follow up with appropriate personnel to ensure deadlines are met.
  • Identifies and contacts District executives to secure their participation in outreach calls by the SVP and VP, and schedules those calls. Prepares individualized advance briefing materials for each call.
  • Assists in the planning and execution of head office board of directors meetings. Assists in the board of director fee payments and travel reimbursements process.
  • Prepares and distributes materials for meetings; may develop agendas, take and transcribe meeting notes, distribute documents, and schedule briefings and debriefings as appropriate.
  • Responds to emails and voicemails in a timely manner. Opens, sorts and sets priorities for incoming e-mail and paper mail; generates responses to correspondence for officer’s signature with limited oversight, uses judgment to distribute work to the appropriate area or person.
  • Arranges meetings and conference calls with internal and external parties as needed, ensuring that arrangements are optimal for all parties involved.
  • Utilizes spreadsheets, software, and researches information in order to compile and generate reports and correspondence; may also prepare status reports.
  • Creates letters, memos, forms, or other documents; drafts responses for officer’s signature; proofreads and corrects draft correspondence.
  • Interacts professionally with internal and external stakeholders.
  • Maintains a high level of confidentiality with sensitive information.
QUALIFICATIONS:
  • High school diploma or equivalent.
  • Minimum of five years of experience in executive level support.
  • Excellent oral and written communication skills. Demonstrated ability to perform with a high degree of tact and professionalism and be able to work effectively with a wide variety of people. Attention to detail, a proactive approach to work, and the ability to effectively manage multiple activities simultaneously are necessary.
  • Considerable knowledge of executive office practices and protocols.
  • Considerable skill in:
    • quickly understanding assigned tasks and drafting correspondence and proofreading and correcting draft correspondence;
    • effectively communicating with all levels of personnel and customers, both orally and in writing and choosing the best mechanism for the communication;
    • managing time effectively;
    • handling multiple competing priorities by selecting the highest priority;
    • word-processing packages to generate correspondence;
    • Microsoft Office and high proficiency in Outlook especially meeting and schedule management; and
    • some skill in entering and extracting data using spreadsheets and databases.

Salary: 61,000 – 75,000
