Budget Title: Staff Assistant (SL-2)

Salary: $46,000

The Computer Science Staff Assistant provides professional level support for graduate and undergraduate programs with regard to faculty, staff and prospective and current students. The Staff Assistant will report to the Senior Assistant to the Chair with a dotted line reporting to the Department Chair.

CS Program Administration

  • Graduate student support: provide oversight of course registration/graduate student progress to degree/PhD examination scheduling/Learning Contracts/graduate student forms, to include cleansing and maintaining all data in the PhD Tracking and PhD Exams spreadsheets (data migration from PhD database).
  • Assist with identifying appropriate graduate students for hiring in Teaching Assistant positions and graduate grader positions. Set up the graduate grader/student assistant appointments. Provide backup support for the department's graduate student appointment process (state and RF). The appointment process includes the tracking of graduate students and their departmentally allocated funding sources. Also assist with tracking other university funding sources/opportunities such as SPIR, Fulbright, LSAMP, Clark, Provost Summer Fellowship.
  • Assist with Course Building processes for undergraduate and graduate programs.
  • Manage Department documentation related to Graduate Program Review, Undergraduate ABET Accreditation and Middle States Accreditation: Assist faculty with annual review of rubrics/measures/targets, assessment data collection each semester, population of WEAVE online, and collaboration with Office of Institutional Research & Assessment.
  • Assist with the development and management of new graduate program initiatives for CS, including gathering and compiling appropriate background information.
  • Assist with various student awards and fellowships by helping identify qualified candidates, communicating with faculty, gathering application materials, completing submission and maintenance of records.
  • Assist the Undergraduate Director with transfer application management, Intra-University Transfer (IUT) requests, CS minor applications, and coordinating schedules for Undergraduate Director activities.
  • Assist with management and routing of General Academic Petitions from undergraduate students, for course overload, course transfer equivalencies, and degree requirements exceptions.
  • Assist with department managed course petitions and waiting list management processes.
  • Assist with course registration of undergraduate students for classes that require department permission.
  • Manage inquiries from prospective CS majors and non-CS majors regarding enrollment in CS classes.
  • Assist the undergraduate Course Assistant (CA) and Supplemental Instruction (SI) leader application, selection, and employment processes.
  • Actively participate as a member of the CS Admin team to ensure all department activities are functioning smoothly.

Communications

  • Provide additional support for graduate recruiting efforts for the department - preparing individual letters to be sent to prospective students and trouble-shooting as needed.
  • Work with Communications and Marketing to make changes to current web pages and communication materials regarding undergraduate and graduate programs, faculty research, and promotion of the CS department., faculty, and students.

General Department Administration

  • This position may include the support of other administrative duties, such as, but not limited to, event planning (commencement reception), taking meeting minutes, web updating, course scheduling, proofreading proposals, facilities requests, supply procurement and providing back-up assistance to the main office, etc.
  • Attend department meetings, graduate administrator meetings and/or other CS Department meetings as required to complete job activities.
  • Maintain written desk procedures.
  • Provide assistance to the Senior Assistant to the Chair with new faculty hires: this may include planning, setting up travel, interview schedules, onboarding, and problem-solving.
  • Take SIPC and JIPC committee meeting minutes, communicate with external reviewers as needed, and complete other activities corresponding to compiling personnel cases.

Computer Systems

Maintain expertise in Microsoft Office (primarily Word & Excel), Banner, BU Brain, Weave, Slate, Google Docs, and Google Forms

  • A Bachelor's Degree with a minimum of 2 years related work experience.
  • Excellent computer skills including strong proficiency in Microsoft Office and Google Suite.
  • Must possess strong oral/written communication skills and technical expertise in business management tools including spreadsheets, word processing, calendar tools, and presentation software.
  • Must be highly motivated and detail oriented with the flexibility to multi-task and the ability to change direction as needs require; able to work well under pressure, solve problems along with the ability to ensure University policies and procedures are followed.
  • Must be very personable with demonstrated strengths in interpersonal relations and the ability to collaborate and communicate complex material effectively with a diverse group of individuals including faculty, staff, senior administrators, community partners, students and visitors.
  • Ability to work both independently and as part of a cohesive team.
  • Ability to lift at least 30 lbs.

Preferred:

  • Experience working in a variety of University and SUNY Systems such as Banner, Slate, and BU Brain. Training is available for these systems.
  • Demonstrated success in interacting effectively with a wide cross-section of stakeholders (faculty, staff, prospective and current students).
