SUMMARY

Montage Medical Group, part of the Montage Health system, is operated as a licensed community clinic following California Department of Public Health title 22 statutes. Montage Medical Group employs approximately 72 physicians and advance practice providers along with nearly two hundred support staff.

The Staff Recruitment Coordinator is responsible for providing standardized recruiting, screening, and onboarding processes for staff and providers across all Montage Medical Group locations. This position includes developing and improving workflow standards and training material that aligns with the mission and vision of Montage Medical Group, following the strategic work plan. The individual in this position is also responsible for delivering new user training for clinical support staff and administrative support staff as well as the management team.

The Staff Recruitment Coordinator must be able to perform the duties described within as well as to meet the company’s qualifications regarding education, experience, patient service, attitude, language skills, meet physical requirements, possess mathematical and computer skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following and other duties may be assigned.

  • Collaborates with Montage Medical Group Administrative Team (MAT) as well as Practice Managers/ Administrators to ensure staffing needs are timely met
  • Collaborate with Practice Managers/ Administrators to update job descriptions and requirements
  • Maintains and accurate and up-to-date matrix for staffing needs throughout the organization
  • Compiling reports on recruitment for the Management team
  • Coordinate with HR to ensure that job postings for all open positions are posted and refreshed as needed
  • Develop and maintain professional relationships with external sources to attract qualified candidates (ie: schools, community job fairs, etc…)
  • Begins the talent acquisition process by reviewing ADP applications, emailed applications and online recruiting sites for quality candidates
  • Scheduling and conducting interviews
  • Forwards quality candidates to hiring managers
  • Contact quality candidate references
  • Generate and send welcome letters and other actions as outlined on onboarding checklists
  • Provides a weekly orientation schedule for new hires
  • Succinctly and effectively reviews, communicates and completes New Hire documents, Benefits, Training, Policies and Procedures, Safety and Patient Satisfaction Videos and the Orientation Checklist with the new hire
  • Maintain a working knowledge of employee benefits
  • Adheres to new hire orientations policy
  • Establish a concise, professional and organized introduction to the organization
  • Maintains compliance with federal, state, and local employment laws and regulations and recommended best practices; reviews policies and practices to maintain compliance
  • Schedule new hire vaccines
  • Maintains knowledge of trends, best practices, regulatory changes and new technologies in human resources talent management and employment law via continued, conferences, industry memberships and journals
  • Maintains the New Hire Documents and revises/updates documents as needed and annually at year end
  • Provides monthly reports to clinic managers for upcoming performance evaluations
  • Monitor completion of required regulatory trainings and follow up with clinic managers as needed
  • Works with HR to track employee leave of absences
  • Performs other duties as assigned

KNOWLEDGE

Functional knowledge of:

  • Federal, State, and Local employment law and regulations
  • Proficient with Microsoft Office or related applications and software
  • Proficiency with or the ability to quickly learn the organization’s talent management system
