General Description:
The Timekeeping Specialist advises clients of attendance requirements in the Career Advance program, and enters all their information into various databases.
Responsibilities:
  • Consistent and accurate data entry of all client information including attendance, documentation, and case notes
  • Evaluates documentation for validity and confers with management as appropriate
  • Generates and interprets reports from the DTS database
  • Checking information received via fax, email, and in person, against data available in three databases
  • Working in multiple databases simultaneously, including Salesforce, NYCWAY, and/or DTS
  • Checking the department voicemail, and returning the calls with relevant information
  • Messaging program requirements with excellent customer service and directs clients to next steps
  • Maintaining confidentiality of clients’ personal information, according to funder guidelines
  • Pulling the services report from Salesforce, and cross reference with the data entered in DTS
  • Utilizing NYCWAY to correct and confirm, the customers contact information in Salesforce
  • Placing outreach phone calls to customers, for various reasons. Including inquiring about and addressing their needs. As well as providing recruitment event, training opportunities and job interview information
  • Using and updating information in Microsoft Excel spreadsheets
  • Collaborating with different departments, with the goal of helping customers, be successful in their employment search and training needs
  • Prioritizes workload to meet tight daily deadlines
Qualifications:
  • High School Diploma, AA or BA preferred
  • Proficient in Microsoft Office
  • Results oriented with a strong attention to detail
  • 1-2 years’ experience in data entry and customer service
  • Ability to achieve goals with minimum supervision
  • Ability to prioritize and handle repetitive tasks
  • Ability to read and interpret documents, contracts, and procedure manuals.
  • Ability to write professional emails
  • Ability to speak effectively and persuasively before executive leaders and others
  • Ability to apply concepts of basic mathematics.
  • Ability to solve practical problems and deal with a variety of situations.
  • Prior experience with Salesforce, NYCWAY, and DTS a plus
Salary Range: $17.00 - $18.25 per hour
