Job Summary:

The Program Administrator is responsible for executing and maintaining operational accuracy and vendor management for all land tour components across multiple tour series and departure dates within an assigned territory. From creation to messaging to completion, the Program Administrator handles all aspects of key line items within the operational systems. This position works to confirm all services for departure dates throughout the year for up to 3 tour seasons. The Program Administrator meets regularly with the Product and Operations teams on tour items and makes relevant updates within the operations system. Key functions of the Program Administrator role align to company goals and contribute to KPI’s.

Primary Functions:

  • Creates, messages, and confirms land components within the operational systems for all assigned itineraries. Creates tour packages, enters given service information, sends bid requests, tracks responses, and maintains all relevant information.
  • Organizes regular meetings to establish operational consistency of vendor services with established tour itinerary and identifies key operational needs as well as tour deviations. Builds the day to day line items into the operations systems: assigns services, creates suppliers, attaches contracts, creates the layout items & date ranges for the other land supplier components.
  • Manages additional departure dates, requests accommodation space for tour flow, communicates regularly with company teams to address any challenges, adds all tour components and notifies other teams that a new date has been confirmed.
  • Collaborates with territory team on vendor challenges to retain quality/brand standards; Collaborates with multiple company departments to ensure tour components are accurate and consistent throughout all channels, ensuring overall tour integrity for optimal guest satisfaction.
  • Maintains vendor communication and service status; responsible for regular maintenance and connecting confirmation communication into the operational systems for backup.
  • Implements company and guest communication on any tour changes as well as updating the operational systems with itinerary updates and communicates changes to vendors.
  • Assists in urgent and crisis situations pre-tour departure and on-tour in response to world events and vendor challenges.

Knowledge and Skills:

  • Bachelor’s degree or equivalent experience
  • Ability to plan, organize and prioritize work in a fast paced environment; must be able to multi-task efficiently and accurately.
  • Possess a proactive, positive, and professional approach and demeanor to their work with the ability to work well under pressure
  • Collaborate well with others and foster a cooperative work environment.
  • Must be flexible to an ever-changing travel industry and educated in current events worldwide.
  • Possess a fiscal understanding of impact to financial position.
  • Ability to effectively create and communicate through all means of communication to all stakeholders.
  • Proficient computer skills in Microsoft applications.

Job Type: Full-time

Pay: From $19.00 per hour
