JOB SUMMARY
Provides organizational support to the TulsaWORKS Career Academy programs, providing compilation and quality assurance of monthly invoicing, assistance with compilation of key measures and other program outcomes, assisting with networking and award events, keeping address lists current and entry of information in the program database.
ESSENTIAL JOB FUNCTIONS
Collects and compiles information for invoicing funding sources associated with TulsaWORKS Career Academy programs.
Prepares and/or collects prepared invoices, checks for accuracy of external and internal coding systems. Forwards information to Workforce Development Assistant.
Compares amounts paid by funding sources to amounts originally billed. If different, determines problem and contacts the appropriate funding source in order to eliminate the discrepancy. Corrects original billing, as necessary, coordinating efforts with Workforce Development Assistant and Accounting staff.
Assists with meeting arrangements for program events, award banquets (such as Goodwill Alumni Program), prize acquisition, and certificate designs.
Assists with skill training programs test compilation, reporting information to licensing organizations (such as Council on Law Enforcement Education and Training) as needed.
Maintains inventory of office supplies and equipment needed in the TulsaWORKS Career Academy programs. Collects information regarding department needs and forwards request to the Workforce Development Assistant.
Composes, transcribes, and/or files correspondence and creates flyers for announcements of programs and other occasions.
Designs forms and reviews paperwork requirements of TulsaWORKS Career Academy programs in order to increase efficiency and accuracy.
Enters information into Client Management System, running needed reports.
Designs presentation packages using Publisher, PowerPoint, or Adobe.
Maintains accurate, current address lists of businesses and other program partners.
Reviews and is familiar with Company safety policies, programs and procedures. Adheres to all safety rules, regulations and safety codes, and attend safety training sessions and safety meetings. Maintains current certifications in First Aid and CPR and administer First Aid and CPR as required.
Greets persons arriving for meetings involving the TulsaWORKS Career Academy programs, conducting tours if needed.
Provides receptionist relief duties as necessary.
May transport program participants to and from community destination.
Availability to provide support for skill training classes offered on Saturdays.
Other support duties as needed.
EDUCATIONAL REQUIREMENTS
High school graduate with secretarial and/or accounting training, proficiency in various computer applications and two years' experience with similar levels of responsibility.
PHYSICAL REQUIREMENTS
Balancing, talking, hearing, stooping, reaching, handling, fingering, depth perception, lifting, carrying, and seeing. Lifting/Carrying, Pushing Pulling: Light Work - Lifting 25 pounds maximum with frequent lifting and/or carrying objects weighing up to 10 pounds.
SPECIAL REQUIREMENTS
Must be at least 21 years old.
Must have a valid Oklahoma driver’s license, with a good driving record.
Must maintain appropriate requirements for legal vehicle operation, including current automobile insurance inspection, and license plate.
Must be eligible for a positive outcome on required State of Oklahoma criminal conviction background check.
Must maintain Goodwill’s Drug-Free Workplace.
