We are looking for an Vendor Coordinator to join the HHM Facility Management team. HHM Facility Management has been providing exceptional maintenance services to American industries for over 22 years. Full Time Position based in Branson, Missouri with consideration given to hybrid workplace.

Position Summary

The Vendor Coordinator is supporting the operations and sales teams by assisting to manage vendor relationships and provide support for the sales bid process. This role will ensure accurate vendor record keeping.

Duties/Responsibilities:

  • Responsible for ensuring the schedule, budget and details of a given task are well organized. They communicate with various departments to keep everyone on board about any changes to the project plan. In addition, they organize reporting, plan meetings, and provide updates to project managers.
  • Responsible to help carry out various duties such as maintaining vendor information, maintaining accurate system records, assisting with vendor inquiries and more. Assist in administering of bid process across HHM portfolio.
  • Assist with onboarding vendors, troubleshooting issues and monitoring reports to ensure our customers receive great service.
  • Execution of regular updates to MSAs, vendor protocols and procedures, certificate of insurance maintenance, and similar system-based vendor documentation oversight
  • Collaborates with Accounting and other internal departments to influence, engage, and pilot new vendor programs allowing the company to maintain or exceed market parity as it relates to vendor relations.
  • Performs other related duties as assigned.

Knowledge, Skills and Abilities

  • Excellent verbal and written communication; time management, problem-solving, and organizational skills.
  • Advanced computer skills, specifically Microsoft Excel
  • Ability to operate at a high level of accountability, accuracy, and efficiency.

Education And/or Experience

  • High School diploma required, Bachelor's degree in related field a plus.
  • Two years project management experience

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional stooping and bending.
  • Occasional lifting up to 15 pounds.
