Visa-Arrival Coordinator

The Visa/Arrival Coordinator (VAC) prepares, guides, and is in constant contact with arriving students during the enrollment process to ensure a smooth transition to becoming a student at Epic Flight Academy, collaborating with the
student, Epic employees, and government agencies.
Duties/Responsibilities:

  • Keep consistent contact with incoming international and domestic students to facilitate the transition to Epic

Flight Academy and assist with completion of all enrollment steps required before arrival

  • Create, organize and maintain an interactive spreadsheet for incoming students (updating on a daily basis)
  • Prepare and submit monthly student forecast report
  • Guide students through the I-20/M-1 Visa/TSA process
  • Update electronic records and spreadsheets, as necessary, through each step of the transition/arrival process
  • Prepare detailed enrollment packets, to include legal documents required by the federal government
  • Schedule and conduct arrival appointments
  • Work with housing manager to coordinate housing accommodations for arriving students as necessary
  • Coordinate student arrival, requesting itinerary and populating arrival information on the google calendar
  • Notify the Recruiter Specialist, and Housing Manager (if necessary) to ensure safe/efficient arrival, that

transportation from the airport is confirmed and housing arrangements are made

  • Facilitate payments related to visa processing
  • Assist with orientation and confirm that all students have begun training as requested

Required Skills/Abilities:

  • Ability to navigate computer and online CRM style systems
  • Excellent communication skills & grammar
  • Attention to detail/Self-motivated/Strong team player/Ability to multi-task
  • Proficiency with Excel, Word, Google Sheets
  • Above-average typing skills
  • Experience working with government-regulated processes
  • Knowledge of Visa regulations
  • Understanding of various cultures and ability to communicate with non-native English speakers

Preferred Qualifications

  • Chat System Experience
  • Secondary education or college admissions experience
  • Bilingual preferred
  • Experience with Copper, Salesforce, or similar CRMs
  • Knowledge of the aviation industry
  • Experience with “shared document” creation and use

Job Type: Full-time

Pay: $15.00 per hour
