Greater Philadelphia YMCA Employment Opportunity!POSITION PURPOSE:
The VP Finance & Accounting will be a hands-on leader, collaborating with the CFO to plan and direct the accounting & finance operations of the Association and is responsible for creating, implementing, maintaining, and leading effective financial controls. This position will maintain and continually improve a financial operations system that reflects and accommodates financial complexity that supports the development and management of cash flow analysis, internal financials, budgets, and production of various analyses. This position has access to sensitive financial information and is expected to handle such with integrity and professionalism. This position will report to the Chief Financial Officer (CFO).
ESSENTIAL FUNCTIONS: Accounting Functions:
- Lead internal controls of transaction-processing operations, and related policies and procedures and develop action plans relative to internal control needs to maximize return on financial assets
- Ensure compliance to current legislation and upcoming change readiness (e.g., lease accounting)
- Responsible for subsidiary ledgers: cash disbursements, cash receipts, accounts payable, accounts receivable, month-end payroll reporting, and journal entries for adjustments to the general ledger
- Partner with Controller to maintain Chart of Accounts compliant with GAAP, State and Federal regulations to ensure accurate accounting records and own the monthly closing process
- Partner with Controller to complete the process of month-end journal entries and closing
- Responsible for all cash handling procedures and oversight of Bank Reconciliations
- Provides oversight of accounting operations, including accounts receivables, payables, procurement, and treasury
- Manage Accounts Payable, ensure invoices are submitted timely and accruals are booked properly
- Partners with HR and manages posting of Ceridian Payroll entry / review for appropriate allocations
- Identify process improvement opportunities and initiate changes to streamline accounting close (e.g., audit and automation within NetSuite)
- Develops and implement new procedures based on changes in the Association needs
- Prepares the financial reports external and internal reporting that outline the company's financial position in the areas of the income statement, balance sheet and cash flow statement based on historical, current, and future operations
- Prepares supporting monthly reports that include reconciliation of cash, accounts receivable, investments, accounts payable and payroll
- Prepares all supporting schedules for the annual audit
- Analyze monthly variances and support development of presentations and narrative to support CFO and Board
- Review and reconcile all accounts maintaining documentation and controls
- Complete compliance and tax filings (e.g., 990, 5500, Single Audit)
- Supports CFO in preparation of department budget and responsible for operating within budget
- Collaborates and drive the annual budget and forecast processes (e.g., calendar & deliverables); provide operations with hands on support reporting budget variances and obtaining transaction details or explanations – identify risks and opportunities
- Support organizational alignment to budget and share opportunities for improvements based on analysis
- Reviews the input of the budget into the accounting system and support final compilation
- Works with PBCS Administrator to communicate and train organization stakeholders on internal budget process
- Advises business units on and assists with implementation of accounting and budgeting policies.
- Leads implementation of Fixed Asset Module within NetSuite
- Provide analysis to support the capital budgeting process and related controls
- Perform reviews of assets and records to ensure accuracy of records
- Monitor procedures to ensure timely updates for asset disposals and transfers
- Supports CFO in defining roles and responsibilities and driving training in order to reach optimal individual and departmental goals
- Provides training and ensures open communication Association wide for finance and accounting
- Leads department staff, ensuring results by planning, coaching, monitoring, and appraising results
- Adheres to the organization’s security guidelines and ensures the appropriate handling of sensitive information
- Completes special projects specific to the function of the department or as needed for the department as directed by the CFO
- Other duties as assigned within the scope of position expectations
- Bachelor’s degree with a concentration in Finance or Accounting
- Certified Public Accountant (CPA) or Certified Management Accountant (CMA) license is strongly preferred
- Non-profit accounting or public accounting experience preferred
- 7+ years of progressively responsible experience in accounting and a minimum of 3 years in a finance leadership role
- Computer skills
- Proficiency with accounting software required (NetSuite preferred), experience with software system implementations and project management software
- Experience in Microsoft Office Suite with advanced knowledge of Microsoft Excel
- Familiarity with Salesforce, Ceridian, database and other systems
- Ability to analyze financial data and prepare financial reports, statements and projections in alignment with US GAAP and other financial regulations
- Working knowledge of short- and long-term budgeting and forecasting, rolling budgets, cost and capital analysis
- Advanced knowledge of bookkeeping and accounting best practices, laws, standards, and state regulations
- Strong supervisory and leadership skills with a systems mindset, action oriented project management style to manage multiple priorities with attention to detail
- Ability to work independently while leading a team with a positive attitude and professional demeanor
