POSITION SUMMARY

This position is responsible for gathering, organizing, coding and paying company expenses in order to post to the General Ledger. Banking/cash forecasting, purchasing administration, and Fixed Assets tracking also play a role in the day-to-day activities.

ESSENTIAL DUTIES & RESPONSIBLITES

  • Responsible for the Accounts Payable function.
  • Process the weekly EFT and check runs, prepare and send wires throughout the month.
  • Audit & prepare weekly payments to the freight processing vendor.
  • Complete a daily review to ensure invoices/expenses/payments comply with Hong Kong Policies.
  • Manage cash and forecasting.
  • Administer the PO Process: including entry of PO requisitions for the San Antonio location & miscellaneous Beaverton departments.
  • Maintain the Vendor File includes acquiring W9 forms and setting up new vendors.
  • Process the Annual 1099's.
  • Manage the daily banking for AR.
  • Process the Fixed Assets monthly reconciliation additions, retirements, and transfers. Prepare yearend tax depreciation for auditors. Complete annual inventory.
  • Report Property taxes for Beaverton & San Antonio offices.
  • Report unclaimed property.
  • Perform Oracle month end close in Payable & Purchasing modules.
  • Review invoices for S & U Tax reporting.
  • Be the point of contact and banking relationship manager with Wells Fargo Handle issues & changes as needs arise.
  • Responsible for monthly accruals for Beaverton & San Antonio offices.
  • Manage and reconcile company credit card program.
  • Manage company cell phone plan.
  • Collaborate through communication and teamwork with co-workers, management, clients and others in a courteous, and professional manner
  • Exercise sound business judgment
  • Work independently and collaboratively and manage time effectively in order to meet changing deadlines and priorities
  • Treat all employees, guests and customers and others affiliated with our business with respect
  • Conform and abide by all laws, regulations, policies, work procedures, instructions and VTech's Rules of Engagement
  • Conform with all safety rules and use all appropriate safety equipment
  • Other duties as needed or required

POSITION SKILLS

  • Must have experience in Oracle (or comparable system such as SAP) Accounts Payable module experience with Purchasing & Fixed Asset modules a plus.
  • Need thorough knowledge of Accounts Payable with several years of practical experience.
  • Knowledge of computerized systems in an ERP environment is crucial.
  • 1099 experience
  • Concur experience with administrator experience desired.
  • Need general knowledge of accounting.
  • Ability to communicate clearly and succinctly both orally and in writing.
  • Ability to maintain positive working relationships with co-workers, management and customers.
  • Excellent time management, organization and follow-through required.
  • Excellent customer service skills.
  • Willingness to be a problem solver and a strong team player.
  • High professional standards.
  • Have strong interpersonal skills in building and maintaining collaborative relationships with cross functional teams.
  • Must be proficient in Microsoft Word, Excel and PowerPoint. Experience with Microsoft Office 365 preferred.

EXPERIENCE/EDUCATION

  • 5 years of progressively responsible experience in the area of Accounting and/or Accounts Payable
  • Bachelor's degree in Business, Finance, Accounting or a related field; or any combination of experience and education that provides the necessary skills, knowledge and ability to perform essential functions of this role.

MANAGEMENT RESPONSIBILITY

This position has no management/supervisory responsibilities.

WORK ENVIRONMENT

Duties are primarily performed in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.


POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position, 40 hours per week, Monday through Friday. Core hours will be set between employee and manager and will be based on business needs. Occasional evening and weekend work may be required as job duties demand.

TRAVEL

Travel is primarily local during the business day, although out-of-the-area and overnight travel may be expected 0% of the time.
