City Wide is a locally-owned, national organization in the building maintenance industry with more than 56 years of experience managing more than 20 facility services, including janitorial services. City Wide has a been a leader in the facility maintence industry in Greenville, Charleston, Western North Carolina, Savannah and Pee Dee region.
We are in search of an Admin assiatnt in the back office position. This location does all the billing, collections, accounting as well as Accounts payable for 4 locattions in the South Carolina market. The main duty of this person will be to accounts payable that will include keeping all vendors in good standings, set up payments but also the overal corodiation of the day to day business. This is a new position for us due to steady growth and long term stability. So yes we are looking for a catch all person that will enhanse our culture as well as allow our growth to be seamless. Accuracy and good work is important. Please consider the following.
Essential Functions:
· Process vendor bills and vendor statements for payment on a timely basis
· Research variances in cost or quantity when invoices do not match records
· Resolving Discrepancies with vendors, supply houses and Independent Contractors
· Setup & Approve Independent Contractors and document management
· IC compliance with agreements, (COI) insurance and W-9
· IC paychecks, ledgers and invoices
· Maintain IC Uniforms/T-Shirts
· Credit Card transactions; record receipts and reconciliation
· Supply inventory management & Part number setup
· Monitor & Maintain “Admin” emails
· Communicate with vendors and coworkers with questions of AP related issues/status of items ordered
· Ensure accurate G/L account coding
· Year-end 1099 filing
· Assist with External/Internal Audits
· Assist in Month End & Financial reporting
· Maintain & Purchase Office supplies
· Answer incoming company calls
· Greeting incoming clients, guests, vendors, contractors and co-workers
· Handling & preparing outgoing mail and packages
· Run errands when needed
· Operational & Administration support
Position Requirement:
· Ability to maintain a high level of accuracy in document preparation and data entry
· Self-motivated, constantly improving systems, processes and procedures and a team player
· Ability to effectively build relationships with clients, service providers and co-workers
· Problem Solving skills
· Ability to demonstrate very effective organizational skills including time management, prioritization, follow through and delegation
· Ability to demonstrate strong interpersonal skills and attributes that include teamwork, stability, openness, professionalism, and the ability to see the “big picture”
· Proficient in Microsoft Office
