This is a temporary, grant-funded position that is responsible for assisting with fulfillment of accreditation requirements set forth by the National Association of Medical Examiners (NAME). This individual will assist in ascertaining that policies and procedures along with day-to-day operations of the Office of the Medical Examiner within the Department of Pathology at WMed remain complaint with NAME standards. Additionally, this individual will assist in quality assurance practices and database management.
Responsibilities:
- Responsible for monitoring all departmental policies and procedures for required reviews and revisions, in compliance with organizational requirements and NAME accreditation standards.
- Initiates updates of departmental policies and procedures to meet NAME accreditation standards and/or to meet routine practice updates throughout the department.
- Notifies departmental leadership and staff of amendments made to NAME accreditation standards throughout each year and assists with making required changes to departmental policies and procedures, including day-to-day operations, as necessary to maintain compliance.
- Performs quarterly evaluations of departmental compliance with laboratory safety requirements and NAME accreditation standards using the NAME Inspection & Accreditation Checklist.
- This checklist involves a thorough review of organizational and departmental operations, including: facility space; security; safety and maintenance; quality assurance; mass disaster/fatality planning; compilation and dissemination of annual statistics; investigative practices including scene investigation and scientific identification; autopsy practices; postmortem radiology practices; evidence and specimen collection; chain of custody; histology space, safety and practices; toxicology space, safety, practices and certification; reporting practices and release of information; death certification; record keeping; personnel training, certification and licensure; and support services provided by consulting experts and external laboratories, as applicable.
- Reports all findings, including insufficiencies, to supervisor and departmental leadership, as needed.
- Responsible for the input and submission of NAME accreditation-related statistical data and documentation into the web-based Inspection and Accreditation program for annual virtual evaluation, including: all associated policies and procedures, data, reports, certifications, licensures and photographs pertaining to maintenance of NAME accreditation standards.
- Supports the preparation, scheduling and coordination of all NAME accreditation site inspections.
- Assists in the development, coordination and implementation of a routine quality assurance program within the department, including randomized reviews of medicolegal death investigations and their accompanying postmortem examination reports, toxicology and consultant reports, as applicable.
- Assists in the data-scrubbing of web-based case management system to ascertain accurate input of data from the start of a medicolegal death investigation to death certification, including categorization for annual statistical reporting purposes.
- Monitors pending postmortem examinations reports, pending death certificates and tracking pathologist turn-around-times of finalized reports.
- Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
- Acquires knowledge for new technology and policy/procedure revisions.
- All other duties as assigned.
EDUCATION AND/OR EXPERIENCE:
- Bachelor’s degree in applicable field, required
- Master’s degree in Public Health or Public Administration, preferred
- Project coordination experience, preferred
- Experience in management and writing of policies and procedures, preferred
- Experience in death investigation, desirable
- Highly proficient using Microsoft Word/Excel/PowerPoint/Access/Visio/Project/Teams/SharePoint, Adobe Acrobat, email, scanning and document management software, and research skills.

WMed Health is the clinical practice of the medical school with more than 300 providers offering comprehensive primary care and specialty services in several locations throughout Kalamazoo, Portage, and Battle Creek. The Department of Pathology faculty serve as the Office of the Medical Examiner for counties throughout Michigan and northern Indiana.
