Position: Activities Concierge Services Agent - Full time
Starting Date: Proposed position starting date: 11/1/2022
Role and Responsibilities: The Concierge Support Agent will be highly motivated and dedicated to staff that supports and performs all day to day assigned tasks, successfully reaching out and following up with customers via phone, providing our suite of Concierge Service options to complement every stay, elevating the Elite guest experience or creating a seamless concierge booking experiences.
Here is what you will need to deliver:
- Support the Concierge Services function in the performance of all Concierge Services tasks, proactively engaging with Customers, Property Managers and Vendors.
- To effectively document and process all concierge requests, confirming and cancelling requests.
- Follow established processes and contribute to the improvement of workflows as demands change.
- Assist with information review and coordinate with Property Managers and vendors for any additional information/approvals.
- Understand nuance and complexity as it relates to the concierge operations. One size doesn’t fit all and use comprehensive judgement to determine the appropriate approach.
- Focus on maintenance tasks, reviews and audits.
Duties and Responsibilities:
- Provide outstanding concierge assistance for each guest after a reservation is confirmed to upsell Concierge Services.
- Work effectively across a variety of communication channels: Phone, email, text & live chat. Providing a outstanding customers services during every service interaction.
- Meet individual monthly, quarterly and yearly metrics & goals.
- Work collaboratively with the department manager & teammates to solve customer request or issues quickly and efficiently.
- Provide In-Home Services - Private Chef, Grocery Delivery, Massage, Housekeeping, Baby Equipment Rentals, Pool Heat etc.
- Provide/Arrange Transportation Services - Airport Shuttle, Taxi, Car Rentals, etc.
- Facilitate booking opportunities for Activities - Air Tours, Water Tours, Land Tours, etc.
- Scheduling & collecting payments for Housekeeping, pool heat, pool fences, bed request, additional bedding, etc.
- Recommendations for restaurants, beaches, things to do, babysitting, golf cart rentals, golf courses, Christmas trees, etc.
- Work closely with Property Managers, Reservations and Customer Service Teams, Housekeeping teams, and other vendors to support them with general questions, scheduling, and facilitating requests.
- Being able to focus on complex tasks, timelines and being able to prioritize what is most important.
- Documents/processes maintenance and updates (Housekeeping Pricing, Island Recommendations, Pool Heat Pricing, etc.)
- Being able to identify challenging situations
- Guest requests for a wedding, luau, dinner party, BBQ, animals, additional guest, etc.) and bringing it to the Property Manager attention for review and final approval.
You have the following qualifications:
- At least 2 years of experience in Vacation Rental and/or Activities Concierge Services.
- Excellent verbal and written communication skills (Via phone, email, text and live chat)
- General understanding of Property Mgmt. Software (preferably Track).
- Proficiency with G Suite (Google Mail, Docs, Sheets, Slides, Calendar, Forms).
- Technology savvy and a quick study with computer programs
- Ability to maintain a positive working relationship with property managers, reservation managers, support staff and vendors.
- & excellent organizational skills and attention to detail.
- Possess a positive attitude and willingness to take full responsibility for all position duties.
Job Type: Full-time
Pay: $17.00 - $22.00 per hour
