Hennepin County's Leave and Accommodation Management office is seeking an experienced ADA/Leave Administrator to administer the county's reasonable work accommodation process and assist and coordinate the administration of medical leave requests. The Leave and Accommodation Management (LAM) office is embedded within the Total Rewards division and assists and coordinates leave requests for employees by providing centralized and subject matter expertise to thousands of employees.
This position will back-up the LAM office Manager, assist with strategy to keep current with industry trends, lead training and information sharing across the organization and provide subject matter expertise to involved parties at all levels of the organization, union representatives, vendors and citizens.

Location and hours:
This position is remote. Remote workers may be required to come on-site an average of 0 to 12 days a year for work meetings, trainings, or for any other reasons that their supervisor may deem necessary (may include additional days for onboarding and new employee training). Supervisors will provide as much advance notice as practicable. Work hours will typically be Monday through Friday, 8 a.m. – 4:30 p.m., with some flexibility in start and end times.
While this position is designated as remote, based on current requirements hires must reside in Minnesota or Wisconsin.
About the position type:
This position is a full-time, benefit earning position. Employees at the top of the salary range may be eligible to receive an additional cash merit of up to $5,016.24 that can be earned annually based on performance.

- Review disability documentation of functional limitations to determine eligibility for services and to substantiate requests for reasonable accommodations.
- Assist employees in their understanding of their disabilities/limitations, their rights to reasonable accommodations, and explain relative policies and procedures.
- Consult with employee's supervisors, HR Business Partners, health care providers and the County Attorney’s Office on accommodations.
- Conduct formal medical inquiries regarding accommodation requests.
- Work with IT on software requirements for work accommodation and leave tracking solutions.
- Conduct ADA training for Hennepin County staff and New Supervisor/Successful supervision classes.
- Respond to (Title II) citizen complaints, partner with LAM Manager when needed.
- Review employee’s leave of absence requests and medical certification forms.
- Determine approval/denial and issued designation notices in accordance with FMLA guidelines.
- In some cases, request clarification from health care provider and review additional medical documentation as required.
- Coordinate all Fitness for Duty evaluations and all Military leaves.
- Support all aspects of assigned benefit programs (STD/LTD insurance).
- Provide subject matter expertise for program participation rules and legal compliance.
- Participate in vendor relations, including the Workplace Possibilities Program (stay at work/return to work).
- Manage contract and performance guarantees, lead request for proposal (RFP) process, and amend contact and/or plan when needed.
- Partner with the LAM office Manager to develop, maintain, and monitor program strategy to enhance employee understanding, utilization and engagement by driving employee awareness and knowledge of programs and processes.
- Use multiple communication channels to build awareness and reduce misinformation, including The Bridge, formal meetings, trainings, and New Supervisor/Successful supervision classes.
- Increase employee awareness by setting goals, improving processes, data analysis, reporting, and evaluation.
- Lead implementation of ongoing education and communication.
- Develop training materials and lead countywide trainings.
- Keep current with industry trends and best practices by consulting with city/county/national subject matter experts and attending trainings and conferences.
- Maintain absolute confidentiality of work-related issues and records.
- Provide subject matter expertise with a cooperative behavior that demonstrates empathy when responding to issues of a sensitive nature.
- Serve as an expert resource to the organization; lead tough conversations with supervisors, managers, directors and other stakeholders (County Attorney’s Office, Labor Relations, Human Resources Business Partners, union representatives, etc.).
- Lead in a manner that promotes a harmonious and effective workplace environment.
Need to have:
- One of the following:
- Seven years or more of professional human resources or related experience.
- Two years of college including 12 semester credits in business administration, industrial relations, human resources administration, public administration, psychology, or a field closely related to the position and five or more years of professional human resources or related experience.
- Certificate in human resources from an approved college or university and five or more years of professional human resources or related experience.
- Bachelor's degree or higher in business administration, industrial relations, human resources administration, public administration, psychology, or a field closely related to the position and three or more years of professional human resources or related experience.
- Ability and willingness to occasionally travel to multiple locations around Hennepin County, some of which may not be accessible by public transportation.
Nice to have:
- Three or more years of experience initiating and facilitating the ADA process with employees and supervisors.
- Knowledge of the ADA and other applicable federal and state laws related to ADA and FMLA.
- Experience:
- With strategic planning and continuous process improvement.
- Using multiple communication channels to improve program awareness and knowledge of programs and processes.
- Building and nurturing professional relationships with a variety of customers/partners, while maintaining a high-level of customer satisfaction.
- Working with PeopleSoft or other Human Resources Information Systems (HRIS) systems.
- Ability to:
- Conduct training and create training materials.
- Promote a harmonious, inclusive and effective workplace environment.
- Apply problem-solving skills that observe situations analytically and objectively and respond with sensitivity.
- Analyze facts, exercise sound judgment and explain rationale in arriving at decisions to stakeholders at all levels of the organization.
