ASRC Federal Netcentric Technologies is seeking an Administrative Assistant to support our contract at Kirtland AFB in Albuquerque, NM.

  • The Administrative Assistant will support the program office management team in the sustainment of mission critical facilities and infrastructure at Kirtland AFB (KAFB) to ensure our customers’ continued mission success.
  • ASRC Federal is seeking an experienced and organized person with demonstrated office management expertise, superior professional demeanor, and the ability to learn and accomplish a wide variety of day-to-day responsibilities for the KAFB Engineering Operations Services (KEOS) contract.
  • The ideal candidate is a detail-oriented person with a passion for and interest in helping the team to operate efficiently and effectively, possessing enthusiasm for teamwork, collaboration, and customer service.
Responsibilities:
  • Coordinates program office management activities including Site and Deputy Site Managers’ schedules, meetings, correspondence, travel arrangements, records management, and other office duties as assigned.
  • Performs secretarial, administrative, and general office work, including preparing correspondence, reports, presentations, other documents, and ordering office supplies.
  • Schedules appointments, makes or assists in making travel arrangements, coordinates meetings and events including reserving conference rooms, ensures IT system is operational, and operates computer for presentations.
  • Performs duties related to reviewing, editing, routing, and tracking of documents, primarily electronically but periodically, also in hard copy.
  • Use the Air Force Handbook (AFH) 33-337 The Tongue & Quill to ensure compliance with USAF standards of document formatting, processes, and procedures.
  • Answer phones, take messages, and greet and direct customers and visitors.
  • Maintains company and government plans, policies, instructions, manuals, rosters, and directories.
  • Collect and consolidate input from managers for weekly reports and meeting slides.
  • Performs record management per established system(s) of record.
  • Will be expected to be knowledgeable of department specific activities and to provide operational support in areas of assignment
  • Process and securely handle controlled and classified correspondence and documents.
  • Assist with coordination of onboarding senior contractor staff.
  • Supports government Command and Control Centers as required.
  • Review, track, pick-up, deliver, and file all incoming and outgoing correspondence.
  • Perform as the Alternate Operations Security (OPSEC) Coordinator.
  • Back-up Facility Security Officer with base passes/access.
  • Serve as a Notary Public, notarizing applications, licenses, etc. for employees.
Requirements:
  • Minimum of three years of experience as an Administrative Assistant with similar level of duties and responsibilities.
  • High school diploma or general education degree (GED) equivalent.
  • Highly proficient in Adobe Acrobat Pro and Microsoft Teams, Excel, Word, SharePoint, and PowerPoint.
  • Capable of using Visio to create simple process flow charts and update existing charts
  • Possess or be able to obtain a Notary Public commission for New Mexico within three months of start date.
  • Must be able to pass a drug screen.
  • Must have the ability to obtain and maintain a U.S. government-issued security clearance
  • Must possess and maintain a valid US driver's license.
  • Be committed to providing for and maintaining a safe working environment.
  • Have ability to perform repetitive physical tasks involving lifting at least 30 lbs.
Desired Qualifications:
  • At least five years of experience as an Administrative Assistant with similar level of duties and responsibilities.
  • Experience working in a military environment
  • Highly proficient in using the full Microsoft Office 365 Suite of software tools for workflow and task management such as To Do, Planner, Power Automate, and Forms.
